The Front Desk/Data Entry Specialist serves as the first point of contact for the Military & Family Readiness Center (M&FRC) at Hanscom AFB, greeting visitors, answering telephones, and directing clients to the appropriate program manager. The position performs a range of clerical, administrative, and customer service duties, including scheduling clients for M&FRC classes and workshops, and entering and maintaining data in Air Force information systems supporting family readiness and Transition Assistance Program (TAP) services. This is a client-facing role requiring professionalism, discretion, and the ability to support a diverse population of service members and their families.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Answer telephone calls, greet visitors, and ascertain the nature of each call or visit.
- Direct clients to the appropriate M&FRC program manager and identify opportunities to raise client awareness of M&FRC programs and services.
- Schedule clients for M&FRC classes and workshops; provide complete and clear information addressing routine or procedural questions.
- Enter, update, and maintain data within the Air Force Family Integrated Result Statistical Tracking (AFFIRST) database system.
- Input all Transition Assistance Program (TAP) data and resources in the AFFIRST web application, including scheduling clients for TAP classes/workshops and sending reminder emails one week prior to class start date (or per program manager timeline).
- Maintain the appearance of the front desk area — align chairs, materials, and publications daily; report inoperable equipment to M&FRC management.
- Take out personal trash and perform minimal vacuuming/dusting to maintain Air Force standard appearance.
- Ensure all clients sign in completely; generate a monthly client usage report in the format established by M&FRC management.
- Maintain data entry accuracy of at least 85% within 2 business days of entry.
- Attend training deemed essential or mandatory by Air Force Directives/Instructions or as directed by the M&FRC Chief.
- Safeguard all government-furnished property, equipment, and materials; secure facilities/equipment at close of each work period per established procedures.
- Perform other administrative and clerical duties as assigned within the scope of the position.
MINIMUM QUALIFICATIONS
- Minimum of 12 months' experience in a customer service and/or business support environment.
- Working proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Microsoft Windows, including basic troubleshooting.
- Working knowledge of web-based applications (Microsoft Edge/Chrome).
- Demonstrated ability to operate data entry devices/systems to input records and data into electronic formats.
- Strong verbal and written communication skills with a professional, customer-service orientation.
- Ability to exercise independent judgment and experience to plan and accomplish routine tasks in a timely manner.
- Ability to pass a background check/fingerprinting sufficient to obtain a Common Access Card (CAC) and complete an Information Assurance exam.
- Ability to obtain and maintain access to the Hanscom AFB Local Area Network (LAN).
PREFERRED QUALIFICATIONS
- Basic understanding of military protocol, support group organizations, and family systems within a military setting.
- Prior experience supporting a military family readiness center, TAP program, or similar military/veteran-serving organization.
- Experience working with a diverse population, including service members, spouses, and dependents.
- Prior experience with AFFIRST or comparable Air Force/DoD case management or data tracking systems.
WORK ENVIRONMENT & PHYSICAL DEMANDS
- Standard office environment within a government facility; front desk/reception setting with regular client interaction.
- Primarily sedentary work with regular use of a computer, telephone, and standard office equipment.
- Light physical activity may be required, including minimal vacuuming, dusting, and straightening of furniture/materials.
- Business casual attire required at all times while on duty.
- This is an in-person position; situational telework may be authorized only if directed by national health directives or base regulations, with all duties remaining the same except front-desk upkeep and client sign-in/reporting tasks.
ADDITIONAL INFORMATION
This position is Non-Key personnel under the governing Performance Work Statement and represents the sole full-time equivalent (FTE) supporting this requirement. The employee will receive day-to-day task direction and training from government personnel at the M&FRC; however, all employer/employee matters (pay, benefits, leave, discipline, etc.) are managed exclusively through Bailey Information Technology, LLC (BIT).
