Description

Sunny Pediatric Services is a pediatric therapy practice that provides speech, occupational, and physical therapy as well as lactation consultation services to little ones in Tallahassee and surrounding areas. We are seeking a highly organized, friendly, and proactive Front Desk Coordinator to be the first face and voice families meet when they contact our practice.

Front Desk Coordinator Responsibilities:
Front Desk & Family Experience:
  • Greet families warmly and check patients in and out for appointments.
  • Collect co-pays, private-pay fees, and outstanding balances at time of visit.
  • Answer phones, respond to inquiries, and support families with questions.
  • Keep the reception and waiting area clean, organized, and welcoming throughout the day.

Scheduling:
  • Manage the daily and weekly appointment calendar, including confirmations and reminders.
  • Process cancellations and coordinate make-up appointments.
  • Communicate schedule changes clearly to families and to the clinical team.

New Patient Calls & Intake:
  • Field new patient inquiries and clearly explain our services to prospective families.
  • Collect and process intake paperwork and required documentation.
  • Coordinate with the clinical team to schedule initial evaluations.
  • Follow up with families who inquire but haven't yet scheduled.

Communication:
  • Serve as a clear, friendly point of contact between families, therapists, and administration.
  • Relay important updates to the right team member promptly.
  • Represent the practice's tone: knowledgeable, warm, and family-centered.

Qualifications:
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Comfortable learning new scheduling and office software.
  • Prior experience in a medical, therapy, or pediatric office setting preferred.
  • Warm, patient, and professional demeanor with children and caregivers.
