Job Title: Front Desk Coordinator (Bilingual – English/Spanish)

Location: Scottsdale, AZ (100% On-Site)
Schedule: Monday – Friday, 7:45 AM – 4:45 PM (Includes a 1-hour unpaid lunch break)

Position Overview

We are seeking a professional and welcoming Bilingual Front Desk Coordinator to anchor our Scottsdale headquarters. In this vital role, you will be the face and voice of our office, ensuring a seamless experience for team members, clients, and guests. You will balance vibrant front-desk hospitality with essential administrative workflows to keep our daily operations running effortlessly.

Pay:  $25.00 to $30.00 per hour

Location:   Scottsdale, AZ 85255

Parking:  Free in lot

Type:   Temp-to-hire 

Start date:   Immediately upon passing background check

Duration:   Until hired

Key Responsibilities

Guest Relations & Front Office Flow

  • Provide an exceptional welcome to all guests, clients, and partners, establishing an immediate positive impression.
  • Oversee guest check-in protocols, issuing visitor passes and alerting internal hosts upon arrival.
  • Direct central communications by answering, filtering, and transferring incoming telephone calls with care and efficiency.
  • Keep the lobby and entryway immaculate, ensuring a polished and clutter-free environment throughout the day.

Office Operations & Administrative Assistance

  • Handle daily mail logistics, including receiving, sorting, and dispatching letters and parcels.
  • Track and order office provisions, keeping daily supplies fully stocked and organized.
  • Monitor shared environments—including meeting spaces and breakrooms—to ensure they are tidy, operational, and well-supplied.
  • Execute digital file management, handling scanning, photocopying, and data entry using platforms like Square 9.
  • Deliver ad-hoc clerical support to department leaders and staff members as operational needs evolve.

Calendar & Logistics Coordination

  • Manage conference room scheduling, verifying that meeting spaces are arranged and ready for scheduled events.
  • Facilitate meeting setup, helping guests connect to local Wi-Fi and troubleshooting basic presentation tools.
  • Guide out-of-town visitors, offering basic navigational support, and hospitality.

Culture & Team Engagement

  • Co-plan workplace events, assisting with the coordination of staff birthdays, team-building activities, and company milestones.
  • Partner with Human Resources and executive leadership on internal communication projects and office-wide initiatives.
