    Overview
    Our client, a growing professional services firm with offices in Connecticut and Colorado, is seeking a Front Desk / Client Service Coordinator for their Guilford, CT location. This person will be the first point of contact for clients and visitors, ensuring that calls are answered live, clients feel welcomed, and scheduling and communication run smoothly across the firm.
    This role is ideal for someone who is professional, confident on the phone, highly organized, and enjoys helping people. You will sit at the center of day-to-day client contact, working closely with advisors and staff in a small, close-knit office environment.
     
    Key Responsibilities
    • Serve as the first point of contact for all incoming calls to the firm
    • Answer, screen, and route incoming calls to the appropriate team members in Guilford and Denver, minimizing calls that go to voicemail
    • Greet clients and visitors in the Guilford office and provide a professional, welcoming in-office experience (including basic hospitality)
    • Monitor and manage the main office email inbox, triaging and routing messages to the right person
    • Handle basic client service requests via phone and email, such as scheduling, canceling, and rescheduling appointments
    • Schedule client meetings for advisors using Outlook and the firm’s CRM (Redtail)
    • Call clients to confirm upcoming appointments, typically 1–2 days in advance
    • Make outbound calls to help schedule client reviews and follow-ups as directed by advisors
    • Screen calls for advisors to determine what can be handled at the front desk versus when an advisor truly needs to be involved
    • Use the CRM to log interactions and help support appropriate outreach based on client service tiers (e.g., Platinum, Gold, Silver, Bronze)
    • Open and close the office each day and keep the front desk area organized and presentable
    • Provide general administrative and client-service support to the Guilford team as needed
    What a Typical Day Looks Like
    • Opening the office around 8:30 a.m. and making sure phones, email, and the front desk are ready for the day
    • Answering and routing incoming calls so clients reach a live person whenever possible
    • Greeting visitors as they arrive, helping them get settled, and making sure they connect with the right advisor or meeting
    • Monitoring the main office email inbox, handling straightforward requests, and forwarding more complex items to the appropriate team members
    • Spending time in Outlook and the CRM to schedule and confirm client appointments and support advisors with one-off scheduling needs
    • Making outbound calls to confirm upcoming meetings and, as needed, to help schedule reviews
    • Closing out the day by ensuring messages are addressed or handed off and that the next day’s schedule is in good order
    Required Skills and Experience
    • Strong phone presence: clear, confident, warm, and professional
    • Prior customer service, front desk, receptionist, or client-facing experience in a professional environment
    • Good organization, attention to detail, and follow-through
    • Ability to prioritize when phones, email, and in-person visitors all need attention
    • Proficiency with Microsoft 365, especially Outlook for email and calendar management
    • Comfort using technology and learning new systems
    • Professional verbal and written communication skills
    • Team-oriented mindset and ability to work in a small, collaborative office
    Preferred Experience
    • Experience with VoIP phone systems, ideally Microsoft Teams calling
    • Experience using a CRM, especially Redtail or a similar system
    • Prior experience in a financial advisory, wealth management, or other professional services environment
