The Front Desk Accounting Assistant is friendly, organized and enjoys being the first point of contact for whoever walks through the office doors. This role blends reception, administrative support, and daily coordination to help keep our office running smoothly.
All necessary training on My Equity Comp policies and procedures will be provided.
General Duties and Responsibilities
- Front Desk & Reception
- Greet and assist visitors with warmth, respect, and cultural awareness
- Maintain a welcoming, accessible, and organized front office environment
- Manage email inquiries and visitor checkins
- Maintain and update the office sign-in log
- Retrieve and distribute daily mail
- Accounting/ Administrative Support
- Provide scheduling, calendar coordination, and meeting logistics for leadership
- Prepare, organize, and maintain documents, reports, and communications
- Take meeting notes as needed
- Support data entry, filing, and recordkeeping with attention to confidentiality and compliance
- Update client contact information in Salesforce and QuickBooks
- Assist with invoicing tasks, including creating, routing, and processing vendor invoices
- Monitor the Info@ inbox and delegate, respond, or process messages appropriately
- Scan and save annual 1099s, and other documents as necessary
- Submit accurate daily time records, including all hours worked and required meal/ breaks
- Operational & Facilities Support
- Manage office supply inventory, including ordering and tracking coordination
- Serve as the point of contact for reporting office facility issues to the property manager
- Maintain shared spaces, including tidying the kitchen, washing dishes, stocking snacks, resetting the conference room, and ensuring common areas reflect the organization's equity values
- Process requested vendor registrations
- Event Coordination
- Take the lead on planning, organizing, and executing company events, trainings, workshops, and community gatherings
- Coordinate logistics such as space setup, materials, catering, communication, and attendee support
- Partner with staff to ensure events are inclusive, accessible, and aligned with equity goals
Qualifications/Requirements

- 3+ years of administrative and front desk experience
- Strong interpersonal and communication skills grounded in empathy and cultural humility
- Ability to manage multiple priorities in a fastpaced environment
- Proficiency with Microsoft Office Suite, Salesforce, QuickBooks, and standard office systems
- Comfort with basic invoicing and accounting software
- Strong organizational skills, attention to detail, and ability to work independently with minimal supervision
- Strong customer service skills
- Ability to maintain confidentiality and exercise sound judgment

- Pay range: $18-$24 per hour depending on experience.

Schedule - In-Office
Full-time, Monday-Friday 8:00 am -5:00 pm with some flexibility
