Summary: The Fleet Maintenance Manager plans, coordinates, and manages comprehensive fleet maintenance operations to ensure maximum vehicle uptime and cost-effective resource utilization. This role oversees day-to-day shop operations, inventory management, scheduling, workflow optimization, and implementation of continuous improvement initiatives. The Fleet Maintenance Manager leads maintenance teams across multiple shifts, provides technical support for on-road breakdowns, and ensures compliance with industry standards including Vehicle Maintenance Reporting Standards (VMRS) and company protocols. This position requires strong leadership abilities to manage technicians, drive operational excellence, and balance competing priorities in a fast-paced transportation environment.
Responsibilities:
Operations Management
Plan and manage daily maintenance shop operations including scheduling, workflow, priorities, and resource allocation
Monitor and review all work orders for accuracy, appropriate parts usage, labor efficiency, and cost-effectiveness
Maintain compliance with Vehicle Maintenance Reporting Standards (VMRS) and company maintenance standards
Manage inventory systems and optimize parts procurement to minimize downtime
Coordinate on-road breakdown support to resolve issues quickly and cost-effectively
Audit shop operations regularly to ensure adherence to standard operating procedures
Leadership & Team Management
Directly supervise and provide leadership to maintenance technicians (up to approximately 35 team members)
Make employment decisions including hiring, promotions, transfers, performance improvement plans, corrective actions, and terminations
Coach and mentor team members to improve technical skills and performance
Conduct performance reviews and recommend/implement training and development programs
Manage employee schedules across multiple shifts to ensure adequate coverage
Foster teamwork, motivate staff, and create a positive work environment
Facilitate weekly team meetings and regular individual employee meetings
Technical Oversight
Provide advanced troubleshooting and technical guidance for complex repair issues
Train technicians on proper work order documentation to support warranty filing procedures
Ensure accurate completion of maintenance records and time-keeping documentation
Monitor technician performance and identify opportunities for skill development
Stay current with truck shop best practices and emerging maintenance technologies
Communication & Continuous Improvement
Communicate company goals, departmental objectives, and performance expectations to team
Recommend and implement process improvements to enhance fleet maintenance efficiency
Analyze key performance metrics and identify opportunities for operational improvement
Respond professionally to difficult employee, vendor, and customer situations
Collaborate with corporate leadership on fleet-wide initiatives and standards

Qualifications
Education & Experience
Required: Associate degree in Vehicle Maintenance, Automotive Technology, or related field, OR equivalent work experience
Required: Minimum 7 years of heavy vehicle shop maintenance experience
Previous leadership or supervisory experience strongly preferred
Experience with computer-based inventory and maintenance management systems
Licenses & Certifications
Required: Class A CDL (or ability to obtain within 1 year)
Required: State and federal certification for air conditioning (HVAC) repair
Technical Knowledge & Skills
Comprehensive knowledge of heavy-duty truck and trailer maintenance operations
Proficiency with OEM (Original Equipment Manufacturer) diagnostic software and tools
Understanding of air brake systems, trailer operations, and federal DOT regulations
Knowledge of heavy-duty automatic transmissions and drivetrain systems
Familiarity with Vehicle Maintenance Reporting Standards (VMRS)
Experience with fleet maintenance management software and work order systems
Proficient computer skills including Microsoft Office Suite (Word, Excel, Outlook)
Work Environment:
This position is located in an active industrial manufacturing and distribution center with moderate to high noise levels, temperature variations, and material handling equipment in operation. The role may require extended periods of standing or walking on concrete floors and the use of personal protective equipment (PPE) such as safety glasses and steel-toed boots. The fast-paced environment involves time-sensitive and safety sensitive operations and may include various shift schedules to support production and distribution needs.
