Job DetailsThe Fleet Coordinator will be responsible for supporting the daily management of company vehicles and fleet-related assets. This individual will maintain accurate fleet records, coordinate repairs and preventative maintenance, monitor registrations and inspections, assist with vehicle assignments, and communicate with employees, vendors, and internal leadership.
Key Responsibilities:
- Maintain accurate records for company vehicles, trucks, trailers, and fleet-related equipment
- Coordinate preventative maintenance, repairs, inspections, and service appointments
- Track vehicle mileage, maintenance schedules, registrations, tags, titles, and insurance documentation
- Monitor upcoming maintenance and compliance requirements to minimize vehicle downtime
- Coordinate vehicle assignments, transfers, replacements, and returns
- Work directly with dealerships, repair facilities, rental companies, and other fleet vendors
- Maintain organized records of maintenance history, repair costs, fuel usage, and vehicle documentation
- Assist with accident and damage reporting, insurance documentation, and repair coordination
- Support the onboarding and offboarding process as it relates to company vehicles, fuel cards, toll passes, and other fleet assets
- Track fuel cards, GPS/telematics systems, toll programs, and related fleet expenses
- Review fleet invoices for accuracy and assist Accounting with coding and reconciliation
- Identify excessive repair costs, recurring vehicle issues, and opportunities to reduce fleet expenses
- Help ensure company vehicles comply with internal safety policies and applicable DOT or regulatory requirements
- Maintain communication with field employees regarding maintenance, repairs, inspections, and vehicle-related issues
- Assist management with fleet reporting, budgeting, replacement planning, and vehicle procurement
- Help develop and maintain standardized fleet policies and procedures
Qualifications:
- 2+ years of fleet, transportation, equipment, logistics, automotive, or construction operations experience preferred
- Previous experience supporting a construction, specialty contractor, field-service, or similar fleet-intensive business strongly preferred
- Strong organizational and administrative skills
- Ability to manage a high volume of vehicles, maintenance schedules, documentation, and competing priorities
- Comfortable communicating directly with field employees, managers, vendors, and service providers
- Strong Microsoft Excel and general computer skills
- Experience with fleet management, GPS/telematics, fuel-card, ERP, or maintenance-tracking systems is a plus
- Basic understanding of vehicle maintenance and repair terminology preferred
- Strong attention to detail and follow-through
- Ability to identify problems proactively rather than waiting for vehicles or equipment to become unavailable
- Valid driver's license required
