Duties

General Office Duties:

  • Keep the office clean and tidy in all areas, ensuring a professional and welcoming environment for visitors and staff.
  • Answer questions related to the services provided by ROE #21 with accuracy and professionalism.
  • Greet visitors, determine the nature of their business, and assist or direct them appropriately.
  • Open and secure the office at the beginning and end of each workday.
  • Operate and maintain office equipment such as fax machines, copiers, and scanners.
  • Review and manage inventory of supplies, order items as needed, and restock upon receipt.

Communication and Correspondence:

  • Answer telephone calls, provide information, take messages, or transfer calls to the appropriate individuals.
  • Open, read, date, and route incoming mail, and prepare responses to routine correspondence.
  • Compose and distribute correspondence, meeting notes, and reports.
  • Maintain paper and electronic filing systems for records, correspondence, and scheduling.

Scheduling and Coordination:

  • Maintain schedules for background check appointments and fingerprinting services.
  • Assist in the setup and preparation for conferences, meetings, and professional development events.
  • Coordinate and update the monthly ROE #21 Substitute Listing.

Customer Service and Public Assistance:

  • Answer questions related to licensure, homeschool requirements, and other services provided by ROE #21.
  • Assist students in obtaining work permits.
  • Capture fingerprints and digitally submit them to the Illinois State Police and FBI.
  • Provide information about licensure or professional development.

Record-Keeping and Reporting:

  • Maintain accurate records related to fingerprinting, background checks, and other compliance needs.
  • Update and maintain substitute listings and homeschool records.
  • Prepare and submit required reports with attention to detail and timeliness.

GED Transcript and Certification Requests:

  • Respond to requests for GED transcripts, certifications, and validations from individuals, schools, and other organizations.
  • Process transcript requests promptly and ensure accurate documentation.
  • Verify and validate GED credentials as required.
  • Maintain and secure GED records in compliance with confidentiality and regulatory standards.
  • Provide assistance and clear instructions to individuals on how to request and obtain GED-related documents.

Team Support and Additional Duties:

  • Set up appropriate files for correspondence requiring replies and locate necessary materials.
  • Assist with special projects and other duties as assigned.
  • Maintain a professional appearance and demeanor, fostering a welcoming office environment.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and abilities required.

  • High school diploma required; an associate's or bachelor's degree preferred.
  • At least 1-3 years of experience in office administration or a related role is required.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Proficient in office management tools (e.g., G Suite, Microsoft Office Suite (Word, Excel, PowerPoint) and standard office equipment.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Knowledge of basic filing systems and record-keeping practices.
  • Adaptability and problem-solving skills in a fast-paced environment.
  • Positive attitude and ability to work collaboratively in a team-oriented environment.
  • Committed to the mission and goals of the Regional Office of Education.
  • Strong organizational skills, with the ability to manage multiple projects and initiatives.
  • Reliable attendance with a proven track record of punctuality and commitment to regular, consistent work performance.
  • The work hours for this position are 8:00am to 4:00pm. The schedule is subject to change with ROE demands. Overtime is required when requested.

Salary/Benefits

This is a 12-month position offering a salary of $30,000-$35,000, commensurate with experience. In addition to the competitive salary, we provide a comprehensive benefits package. Benefits include health, dental, and retirement.
