    Position Summary
    The Corporate Administration Manager oversees the day-to-day Corporate Administration department, ensuring exceptional executive support, efficient administrative operations, office management, employee engagement, internal communications, and corporate services.
    This role serves as the primary Executive Assistant to the President while managing the Administrative & Engagement Coordinator and future Facilities team members. The Corporate Administration Manager maintains and continuously improves administrative processes, provides exceptional support to the President and executive leadership team, and ensures administrative services are delivered consistently across the organization.

    Essential Responsibilities
    Executive & Leadership Support

    • Serve as the primary Executive Assistant to the President.
    • Manage the President's calendar, travel, meetings, and priorities.
    • Prepare agendas, meeting materials, presentations, and follow-up action items.
    • Coordinate executive leadership meetings, off-sites, and strategic planning sessions.
    • Handle confidential and sensitive information with professionalism and discretion.
    • Exercise sound judgment and make independent decisions while keeping the President informed of significant issues.
    • Serve as a liaison between the President, leadership team, employees, customers, and external partners.

    Team Leadership

    • Lead the Corporate Administration department.
    • Supervise, coach, and develop the Administrative & Engagement Coordinator.
    • Establish department priorities and service standards.
    • Delegate work and ensure timely execution of administrative initiatives.
    • Assist in planning for future department growth, including Facilities and additional administrative support roles.
    • Foster a customer-service mindset while supporting employees and leadership.

    Corporate Administration

    • Oversee the day-to-day Corporate Administration function.
    • Create consistency across administrative support functions throughout the organization.
    • Manage corporate records, administrative documentation, and office systems.
    • Establish administrative policies, standards, and best practices.
    • Support continuous improvement of administrative workflows and processes.

    Office Operations

    • Oversee office operations across all company locations.
    • Ensure consistent administrative processes and service levels.
    • Manage vendor relationships and administrative contracts.
    • Guide workplace standards and office readiness.
    • Assist with department budgets and monitor administrative expenses.

    Employee Engagement & Internal Communications

    • Oversee employee engagement initiatives.
    • Guide company events, employee recognition, and workplace culture programs.
    • Partner with the Administrative & Engagement Coordinator to execute company events and internal communications.
    • Support consistent internal communication and employee experience initiatives.

    Corporate Project & Business Support

    • Coordinate administrative support for corporate initiatives and executive projects.
    • Coordinate cross-functional administrative efforts across departments.
    • Support leadership presentations, reporting, and company meetings.
    • Assist with special projects and administrative initiatives as assigned.

    Facilities Coordination

    • Coordinate building maintenance, office improvements, vendors, and workplace logistics.
    • Partner with property managers and contractors.
    • Support workplace safety, office readiness, and facility-related administrative activities.
    • Provide leadership for future Facilities team members as the department grows.

    Financial & Vendor Administration

    • Manage office-related budgets and expenditures.
    • Review invoices and coordinate payment approvals.
    • Maintain relationships with office vendors and service providers.
    • Track contracts, renewals, and administrative expenses.

    Process Improvement

    • Evaluate and improve administrative processes and workflows.
    • Identify opportunities to increase efficiency and improve the employee experience.
    • Implement best practices that enhance organizational effectiveness.
    • Recommend tools, systems, and process improvements that support company growth.

    Qualifications
    Education & Experience

    • Bachelor's degree preferred or equivalent work experience.
    • 4+ years of administrative, executive support, office management, or business operations experience.
    • Experience supporting senior executives or executive leadership teams required.
    • Previous supervisory or leadership experience preferred.

    Skills
