Financial Close Billing Coordinator

Job Details and Summary: 

This Coordinator – will support the Finance Team for Cameron Mitchell Restaurants, its sister company, The Rusty Bucket Restaurant and Tavern, and related entities under Cameron Mitchell Restaurants’ management.  This individual will report to the Director of Finance and assist in a multitude of accounts receivable activities, including, but not limited to, weekly hotel restaurant billing, weekly/month end close processes for our catering division, supporting restaurant private dining payment administration, monthly house account reconciliation, other misc. billings and analyzing and reporting related information.  
 

Pay: $20-$26/hr

Key Responsibilities: 

• Creating invoices and applying payments in our accounting system for the following: 

• Restaurants that are located within a hotel property 

• Catering events 

• House account billings 

• Other misc. billable items 

• Supporting the private dining operations of the restaurants by 

• Setting up the company in a guest’s AP system to be able to pay a deposit, providing W-9’s, and wire payment advice 

• Making approved refunds in the private dining software and booking general journal entries as needed 

• Monitoring centralized email inbox for customer communication 

• Running various general ledger detail records and supporting Catering team management and operational directors. 

• Monitoring aging reports and following up with the appropriate parties on overdue or past-due invoices 

• Maintaining Catering and Accounts Receivable general ledger reconciliations 

• Researching and resolving billing discrepancies, payment mismatches, or disputed charges 

• Maintaining clean general ledgers, customer files and deposit logs 

• Performing other duties as assigned. 

The right candidate for this position will share our passion for delivering genuine hospitality along with these additional qualifications: 

• Associate or Bachelor’s degree in accounting or a related field or 2+ years of general bookkeeping, billing, or basic accounting support experience 

• Strong communication, organization, and analytical skills 

• Strong attention to detail 

• Proficient in Microsoft Office suite or willingness to learn 

• Excel knowledge including filtering, sorting, pivot tables and vlookups a plus 

• Previous experience with Microsoft Dynamics GP a plus
