    Position Title Financial Assistance Advisor II-Dataload & Processing UIW Mission

    Position Summary

    The Financial Assistance Advisor II-Dataload & Processing is primarily responsible for the accurate and timely loading of financial aid data, processing of student financial aid applications, and awarding of funds in compliance with federal, state, and institutional policies. This position plays a critical role in ensuring that financial aid applications are processed efficiently and that students receive their financial aid offers in a timely manner. The Financial Assistance Advisor II-Dataload & Processing reports to the Assistant Director of Financial Assistance.

    All advisors work as student advocates and understand the role financial assistance plays in the success and engagement of our students.

    Job Duty Name Data Import/Export Description of Job Duties

    • Manage the import and export of student data between the financial aid management system (Banner) and federal and state systems (e.g., COD, NSLDS, FAFSA, etc.).
    • Load and review ISIR (Institutional Student Information Record) files from the Department of Education and ensure data accuracy and completeness before further processing.
    • Resolve errors in data imports and manage the correction process for student records as needed.
    • Maintain records in accordance with federal and institutional audit standards, and assist with data preparation for audits.
    • Monitor and track reporting deadlines for federal and state aid programs, ensuring timely submission of required data.
    • Perform other duties as assigned.

    • Monitor and troubleshoot data discrepancies or system issues related to dataload processes, ensuring accurate financial aid processing.
    • Review and resolve discrepancies from daily reports.
    • Troubleshoot and suggest improvements to dataload, automation, and/or processing to minimize and prevent discrepancies.
    • Ensure the accuracy and integrity of data within the financial aid system by conducting regular audits and checks on student records.
    • Update and maintain student records, ensuring that data is accurate and reflects current eligibility and awards.

    • Develop and maintain knowledge of UIW processes and systems and make suggestions that improve the quality of customer support services and processing.
    • Develop and expand functional knowledge and use of Banner and Microsoft Office.
    • Stay up to date on changing requirements of documentation for federal, state, and other aid.
    • Update annual forms to maintain compliance and streamline services.
    • Attend virtual, regional, national training and/or conferences as assigned by supervisor.
    • Review and revise policy and procedure documentation for processing area.
    • Ensure communications and processing are in compliance with FERPA and other federal, state and local laws and regulations pertaining to higher education.
    • Adapt to new policies and learn new skills, to include learning new software when necessary.
    • Study for and obtain NASFAA Financial Aid Administrator credentials, as desired or assigned by supervisory team.

    • Process and package financial aid awards, including federal, state, institutional, and private aid programs, according to student eligibility and program guidelines.
    • Verify that student aid packages are in compliance with all federal, state, and institutional regulations, including Title IV requirements.
    • Make adjustments to financial aid packages as needed due to changes in enrollment, dependency status, verification, or other factors affecting eligibility.

    • Respond to inquiries from students and families regarding the status of their financial aid applications, awards, and disbursements.
    • Collaborate with Financial Assistance team to ensure that students receive timely and accurate information regarding their aid packages.

    Required Education

    Bachelor's Degree.

    Required Work Experience

    One (1) year professional financial aid experience in higher education or student information systems, with an emphasis on data processing and award packaging.

    Preferred Qualifications

    • Experience with federal and state reporting systems (e.g., NSLDS, COD).
    • Experience working with Banner financial aid management systems.
    • Familiarity with SQL or other database query languages.
    • Bilingual in the Spanish language.

In 1881 the Sisters of Charity of the Incarnate Word founded Incarnate Word College as a center of higher education for young women. The college was admitted to membership in the Association of Colleges and Secondary Schools in 1919, and joined the Texas Association of Colleges as a senior college in 1920. The Graduate Studies division was established in 1950. Male students were first admitted into the college's undergraduate programs in 1970. Incarnate Word College became the University of the Incarnate Word in 1996. Today, UIW is a Hispanic-Serving Institution under federal guidelines.

    UIW is the largest Catholic university in Texas and the fourth-largest private university in the state. The enrollment reflects the diversity of South Texas, as more than 60 percent of the students are from racial or ethnic minority groups. UIW is ranked No. 1 nationally among faith-based universities in the conferring of bachelor’s degrees to Hispanics by the Hispanic Outlook in Higher Education Magazine, and No. 6 nationally among all private, not-for-profit universities. International students comprise 14% of the student body, and they represent over 70 countries. Seventy-five percent of the students depend upon financial aid.
