Financial Aid Business Systems Analyst
Support the systems, analytics, and processes that help Financial Aid operate effectively and serve students well. This position combines business analysis, data analytics, systems administration, and process improvement to strengthen operational efficiency, compliance, and data-informed decision-making.
Position Summary
The Financial Aid Business Systems Analyst serves as the primary technical analyst and operational support partner to the Associate Director of Systems and Compliance. The position supports Financial Aid systems, business intelligence, reporting, and process improvement through analytics, system administration, testing, and data-driven solutions.
Working with Information Technology, campus stakeholders, vendors, and Financial Aid leadership, the analyst helps optimize systems, streamline processes, improve the student experience, and strengthen operational continuity. The role also develops the technical knowledge and expertise needed to provide backup and succession support for critical Financial Aid systems.
What You’ll Do
Business Intelligence, Analytics & Process Improvement
- Design, develop, and maintain executive dashboards, reports, and data visualizations.
- Develop and analyze KPIs, operational metrics, and trends to support leadership decision-making.
- Build and maintain Power BI dashboards, SQL queries, and other business intelligence solutions.
- Analyze operational data and recommend improvements for planning, forecasting, workload management, and resource allocation.
- Identify opportunities for automation, workflow optimization, and process improvement.
- Document business processes, system requirements, and operational procedures.
- Ensure data integrity while supporting reporting needs for leadership, Institutional Research, auditors, and campus partners.
Systems Administration, Configuration & Continuous Improvement
- Support the configuration, maintenance, and optimization of Regent Financial Aid and related systems.
- Maintain system configurations, business rules, workflows, and processing tables.
- Monitor system performance, troubleshoot issues, and coordinate resolutions with Information Technology, vendors, and campus partners.
- Coordinate and execute testing for system upgrades, enhancements, releases, and new functionality, including regression and user acceptance testing.
- Validate system configurations, calculations, and data for operational accuracy and compliance.
- Document system configurations, testing activities, and operational procedures.
- Support scholarship systems and evaluate emerging technologies that can improve Financial Aid operations.
- Develop increasing technical expertise to provide operational redundancy and continuity for critical Financial Aid systems.
Strategic Projects, Compliance Support & Professional Development
- Serve as the primary operational and technical support partner to the Associate Director of Systems and Compliance on strategic initiatives, including the Workday Student implementation and Regent/EVA partnership.
- Build expertise in federal, state, and institutional financial aid regulations, policies, and system configuration.
- Learn and support Financial Aid processes, including packaging, Pell Grant processing, Satisfactory Academic Progress (SAP), scholarships, and other Title IV functions.
- Participate in strategic projects, technology implementations, and cross-functional initiatives.
- Collaborate with campus partners to improve compliance, reporting, and system effectiveness.
- Pursue professional development in Financial Aid systems, business intelligence, analytics, and regulatory compliance.
- Maintain documentation and cross-training resources that support business continuity, succession planning, and organizational resilience.
- Develop the technical knowledge necessary to serve as a qualified backup for the Associate Director of Systems and Compliance during absences or organizational transitions.

Qualifications, Skills & Attributes
- A bachelor’s degree in management information systems, Computer Information Systems, Computer Science, Business Analytics, Data Analytics, Information Technology, Business Administration, Accounting, Statistics, or a related field is preferred. An equivalent combination of education and progressively responsible professional experience may be considered.
- Three to five years of professional experience in business systems analysis, enterprise systems administration, business intelligence, data analytics, reporting, higher education administration, financial aid, or a related field.
- Experience supporting enterprise resource planning (ERP) systems, business process improvement, or data-driven decision-making is preferred.
- Strong analytical, critical thinking, and problem-solving skills, with the ability to evaluate complex business processes and recommend effective solutions.
- Ability to analyze, interpret, and communicate technical and operational information through reports, dashboards, presentations, and data visualizations.
- Experience supporting enterprise business systems, including configuration, testing, change management, and business process improvement.
- Experience developing reports and dashboards using business intelligence tools such as Power BI and working with SQL or other reporting technologies is preferred.
- Ability to gather, validate, and analyze data to support operational, strategic, and regulatory decision-making.
- Excellent organizational, interpersonal, verbal, and written communication skills, with the ability to manage multiple priorities and collaborate effectively with technical and non-technical stakeholders.
- Ability to work independently, exercise sound judgment, and maintain a high level of accuracy, professionalism, and attention to detail.
- Financial Aid experience and knowledge of Title IV regulations are preferred but not required.
- Demonstrated ability and willingness to learn federal financial aid regulations, Regent Financial Aid, and institutional business processes.
- Demonstrated commitment to continuous learning, innovation, and leveraging technology to improve organizational performance and student experience.

Work Schedule
Regular Schedule:
Monday–Friday, 8:00 a.m.–5:00 p.m. May require work to be done outside these hours.
Weekend / Holiday / On Call:
Required to work occasionally on Saturdays.
Travel:
Must be able to travel to various federal and state conferences throughout the year to receive training in the specific areas in which the incumbent participates.
