    Finance Office Clerk

    The Finance Office Clerk will support both the Accounting and Human Resources team in an administrative capacity as necessary and as priorities dictate. This role will ensure the Finance staff has adequate support to work efficiently. The ideal candidate will be highly organized, possess excellent time management and communication skills, and have a strong attention to detail to ensure efficient and timely completion of tasks and errands. This position has no supervisory responsibilities.

    Duties & Responsibilities

    • Greet employees and guests such as vendors and clients, assist them with their general inquiries and direct them to the appropriate person or department
    • Answer human resources’ land line and main line, take messages and route to appropriate person or department
    • Schedule meetings, manage calendars, book rooms and coordinate meetings
    • Take accurate minutes of team meetings and distribute to team for overview
    • Create and update records and databases with personnel and other relevant data
    • Scan and file records
    • Perform data entry and maintain physical and digital files
    • Respond to emails
    • Draft, proofread and send routine and/or general correspondence
    • Receive deliveries; sort and distribute incoming and outgoing mail for departments
    • Run errands and make deliveries around the office or to external parties
    • Organize, stock and maintain department supply closet
    • Monitor office inventory and order supplies
    • Prepare hiring packets and other-related paperwork
    • Prepare and distribute employee related documents
    • Assist with coordinating onsite events
    • Assist team members when necessary
    • Other tasks and special projects as assigned

    Work Environment
    This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets. This position collaborates with department managers and employees daily in a manufacturing industry.

    Position Type/Expected Hours of Work
    Some flexibility in hours is allowed; the ideal candidate would have availability between 7:00 AM – 5:00 PM; Monday – Friday. The ideal candidate must work 30 hours each week at minimum to maintain full-time status. Daily schedule may be subject to change based on the needs of the business and department. Overtime and weekend work may be required based on the needs of the business.
