Campus Description:

Bartlett is a rural school district with 450 students. We are located near Temple, Austin, Georgetown, and Round Rock. Our Secondary school enrollment hovers around 235 students. BISD is a TIA (Teacher Incentive Allotment) and a Hybrid District.

Primary Purpose:

Follow established procedures to maintain accounting records and process accounts payables according to standard accounting procedures.

Provide procurement of material and equipment for the district by following established purchasing procedures to process bids and purchase orders.

Ensure efficient operation of the superintendent's office and provide services to the superintendent and board of trustees. Handle confidential information and engage in frequent contact with all levels of district employees, outside agencies and the general public.

Education/Certification:

Bachelor's degree in Accounting or finance -related field preferred.

Special Knowledge/Skills:

Knowledge of governmental accounting and auditing principles established by the Governmental Accounting System Board (GASB)

Ability to analyze and interpret financial data Ability to analyze and evaluate accounting problems, develop data, and recommend improved procedures

Experience with Ascender software Ability to use personal computer and software to develop complex accounting reports, spreadsheets, and databases

Ability to work with numbers in an accurate and rapid manner Effective communication and interpersonal skills

Experience:

Two years' school accounting experience at a high level of responsibility

Federal programs financial experience (Comparability and MOE reports submission)

Major Responsibilities and Duties:

Accounting

  1. Maintain the general ledger and prepare journal entries and budget transfers.

  2. Prepare income balance sheets, statements, consolidated statements, and other statements and

  3. Classify, record, and summarize numerical and financial data to compile and keep financial records using journals and ledgers or computer.

  4. Check figures, postings, and documents for correct entry, mathematical accuracy, proper codes, and budget availability.

  5. Prepare bank deposits by compiling data, verifying and balancing receipts, and sending cash, checks, or other forms of payment to banks.

  6. Reconcile records of bank transactions.

  7. Set up and maintain account controls, logs, and files.

  8. Review and verify accuracy of journal entries, accounting methods, and procedures.

  9. Debit, credit and total accounts on computer spreadsheets and databases using Ascender.

  10. Monitor/examine budget, expenditures and purchase orders of Federal Programs.

  11. Analyze, calculate, enter Federal Program budget into accounting software.

  12. Monthly and annually accrue salaries/wages.

  13. Maintain Public Funds Investment Officer requirements set by Public Funds Investment Act.

  14. Monitor bank balances to ensure adequate collateral compliance.

  15. Process Bi-annual bond payments.

  16. Report/File and Pay Sales Tax.

  17. Transfer funds to ensure timely payments of Accounts Payable and Payroll disbursements.

  18. Prepare accounts receivables.

Administration

  1. Work with administrators, principals, directors, and staff regarding budget and accounting issues.

  2. Assist in the preparation of the annual audit.

Records and Reports

  1. Record, store, and analyze information using Ascender.

  2. Maintain Federal Program documents (payment records, budgets, transfer, revisions)

  3. Assist CFO with preparing timely audit schedules and financial statements according to federal, state, and GASB standards.

  4. Compile, maintain, and file all physical and computerized reports, records, and other documents required, including auditable records and financial statements.

  5. Record expenditures and request reimbursement per TEA Expenditure guidelines.

  6. Prepare Indirect Cost Calculation, Comparability Report, Maintenance of Effort, SHARS Cost Report.

Other

  1. Other duties as assigned.

  2. Stay current with training requirements, rules & regulations.

  3. Reconcile Due To/From Accounts for Federal Programs.

  1. Computer, scanner, printer, calculator, fax machine, copier, multi-line telephone system, and other modern office equipment.
