Finance and Procurement Assistant (Light Bookkeeping)

We're looking for a Finance and Procurement Assistant to be the person who makes sure our office runs well, our inventory and purchasing are accurate, and our accounting and administrative processes are handled with care. This is an on-site role based in Richmond, VA.

What You’ll Do

• Ensure kitchens, break rooms, conference rooms, and restrooms remain clean, organized, and appropriately stocked.
• Assist with incoming and outgoing mail and package distribution.
• Support company meetings and events as needed.
• Maintain accurate inventory records within our CRM and related business systems.
• Receive, inspect, and process incoming shipments.
• Organize and maintain stockroom inventory in a clean, secure, and efficient manner.
• Process inventory transfers, returns, and adjustments.
• Place stock orders with approved distributors and vendors.
• Enter vendor invoices, charges, and expenses accurately and in a timely manner.
• Assist with accounts payable processing.
• Reconcile vendor statements, credit card charges, and other assigned accounts.
• Assist with month-end administrative and accounting activities.
• Work with sensitive employee records, payroll information, financial data, vendor pricing, and proprietary company information.

What You Bring

• 2+ years in office administration, inventory management, purchasing, accounting support, or a related operations role.
• Excellent organizational and time-management skills.
• Strong attention to detail and commitment to accuracy.
• Strong written and verbal communication skills.
• Ability to prioritize multiple tasks while meeting deadlines.
• Ability to work independently with minimal supervision.
• Demonstrated integrity, discretion, and sound judgment.
• Ability to handle sensitive and confidential information appropriately.
• College degree in Business, Accounting, Office Administration, or a related field, as well as IT industry experience preferred.
• Experience with HaloPSA or another professional services automation platform, and QuickBooks or similar accounting software preferred.
