Job Title: Federal Programs Coordinator Salary Block: Administrative Professional
Pay Grade 4
Reports To: Director of Federal Programs Wage/Hour Status: Exempt
Terms of Employment: 226 Days
Minimum Qualifications:
Bachelor's degree in education/business or related field.
Master's Degree preferred
Minimum five (5) years of school-based experience (teaching or other)
Minimum five (5) years' experience in a business/finance environment with a strong critical background
preferred
Minimum five (5) years' experience in working with federal grants, preferred
Special Knowledge/Skills:
Strong organizational communication, and interpersonal skills
Be fluent in English and Spanish
Ability to interface with parents, service center and school districts, and higher education institutions
Knowledge of state, federal grants and E-grants/TEAL
Experience with the fund accounting procedures
Ability to use computer and be familiar with Canva, Google Workspace, MS 360 and e-mail systems
Primary Purpose:
Assist the program director in the coordination and documentation of the federal grant requirements and
activities.
Performance Responsibilities and Duties:
- Assist in the coordinating of federal grants, as assigned, with all other district programs.
- Serve as the contact person for federal grant programs/requirements.
- Oversee the preparation of all reports concerning federal grants, and its requirements.
- Oversee the preparation reports concerning internal/external audits for all federal grants
- Supports the development, implementation and evaluation of the Title I program and other federal
grants through the analysis of funding and allowable expenditures.
- Lead the coordination and preparation of the federal application for ESSA and other federal grants as
assigned.
- Lead the preparation of documentation necessary for amendments of grants, as needed, during the
grant period.
- Lead the monitoring and compliance system for all federal grants.
- Ensure federal funds are expended in a manner that is consistent with the instructional program
design and meet the requirements as set forth from TEA and with guidance from Business Services.
- Lead the coordination of federal grant district and campus budget review meetings and meets with
campus personnel as needed to ensure federal budgets are expended in a timely and efficient
manner.
- Coordinates the required reports needed for budget review, compliance and auditing purposes with
district staff.
- Work with appropriate business services personnel regarding all federal budgets.

- Reviews all federally funded personnel activity reports to ensure compliance documentation is
collected as directed by grant program guidelines.
- Provide district staff with any updates on guidelines, compliance and requirements regarding federal
and state grants.
- Reviews and revises federal grant programs and compliance manuals as needed.
- Oversees services provided by Shared Service Agreement for Migrant coded students
- Assists the Federal Programs Specialist in determining eligible Private School students and ensures
the appropriate services are delivered.
- Assists in the coordination and regularly supervises the provision of federal programs services to
Private School students, if needed.
- Helps maintain inventory control of the Title I funds, materials, equipment and property that support
services to Private School children.
Program Management
- Maintains a professional level of confidentiality.
- Participates in professional development activities designed to extend professional growth,
knowledge and expertise.
- Prepares reports and assists in the gathering of information and compilation of data needed for the
annual program application, compliance/evaluation reporting, and audits.
- Assists in ensuring that all necessary reports are completed in a timely manner.
Other
- All duties assigned must meet federal and state standards, district policies and procedures related to
activities in compliance under Federal Program requirements
- Supports the goals and objectives of the school district and follow all district policies.
- Demonstrates the ability to attend work on a regular and routine basis to avoid disruption to district
operations.
- Provides other duties as assigned by the Director of Federal Programs.
Working Conditions/Mental Demands:
Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress.
Physical Demands/Environmental Factors:
Repetitive hand motions; prolonged use of computer. Works with frequent interruptions. Frequent district-
wide travel, Occasional prolonged and irregular hours.
