Summary: This position is responsible for coordinating the company’s facility maintenance operations, ensuring work orders, vendors, projects, and preventative maintenance activities are organized, tracked, and completed efficiently. This role serves as a key communication link between the Director of Facilities Maintenance, Facilities Managers, field teams, vendors, and internal departments, while supporting budgeting, reporting, and maintenance initiatives. This coordinator also plays an important role in the due diligence and transition process for new acquisitions, helping ensure facilities’ needs are identified and addressed from the start.

·Knowledge of Microsoft Office Suite, Tableau, FM dashboard and Monday.com
·Collaborate with Director of Facilities on needed escalations to RVPs and DDs.
·Collaborate with finance/accounting on SAM Project Management Fees to ensure accuracy, invoicing and timely payment.
·Collaborate with FP&A on required reporting for Director, Clients, FMs, as needed.
·Collaborate with the IT department and Field OPS Coordinator on MaintainX for new user setup, new store setup and needed improvements to the platform for ease of use, improved functionality
·Provide guidance to Store Managers and District Managers on the MaintainX system after initial training is completed.
·Tracking progress of work orders in MaintainX for timely completion – generate reports for the Director of Facilities Maintenance.
·Work with necessary teams to ensure the necessary forms are in place for projects before work starts (contracts/agreements, COI, W-9, Lien Wavers, etc.)
·Collaborate with the Accounting Department to upload payment proof for all Capital Improvements and ensure all property work orders are entered appropriately in MaintainX
·Collaborate & validate information for the Cap Ex invoices to be submitted to accounting for processing.Including checking invoices to bid/proposal amounts, confirming owner approval and confirmation of where funds are to be taken from.
·Supply clients with invoice and payment information, reports and other information as requested.
·Collaborate with the Training Department to create SOP’s for MaintainX and invoice procedures.
·Help direct any contractor Capital expense billing error to the right department within SAM
·Administrative support of facility team as needed.
·In office scheduling requirements are determined by your supervisor and are subject to change at any time.

Education and/or Experience Requirements:
·Minimum of 3 (three) years administrative support experience.Construction or maintenance experience preferred.
·Intermediate Excel experience and Power Point experience.
·Experience using Microsoft office products.
·Excellent written communication skills.
·Problem solver with attention to details.
·Ability to work independently
·High school education with post-secondary education desired.
Language Skills:Must be fluent in speaking and writing the English language.
Work Hours: In a typical week, this position requires regular and predictable attendance. May include additional or overtime hours as needed.
Work Environment:This work is usually performed indoors with normal noise levels and minimal exposure to hazardous conditions. Employees in this position are required to reside in a state where SAM is registered to conduct business.
