    POSITION PURPOSE

    The Facility and Supply Controller will be responsible for overseeing the daily operations and maintenance of the company's physical workspace while managing the end-to-end supply chain to ensure operational efficiency and cost control. This role requires a strategic, analytical mind and strong leadership skills to ensure a safe, functional, and well-supplied environment that supports the organization's goals.

    ESSENTIAL FUNCTIONS AND BASIC DUTIES

    • Oversee all aspects of building functions, including maintenance, repairs, security, and cleaning services, ensuring the facilities are safe and well-maintained.
    • Coordinate and manage maintenance schedules, including preventative and predictive maintenance for all equipment and building systems (HVAC, electrical, plumbing, etc.).
    • Ensure strict compliance with all health, safety, and environmental regulations, including OSHA and local building codes.
    • Plan and manage space utilization, including coordinating employee moves, furniture management, and optimizing office layouts for efficiency.
    • Respond quickly to urgent maintenance calls and emergencies, coordinating appropriate action to protect employees and facilities.

    Supply and Inventory Control:

    • Manage and coordinate the procurement, storage, and distribution of a wide range of supplies and equipment, from office essentials to specialized operational materials.
    • Develop and implement procedures for maintaining optimal inventory levels, establishing reorder points, and conducting regular inventory audits to minimize waste and prevent stockouts.
    • Negotiate with vendors and suppliers to secure favorable contracts, ensure cost-effectiveness, and maintain strong, reliable relationships.
    • Track shipments, monitor supply chain interruptions, and resolve purchasing discrepancies.

    Financial Oversight and Analysis:

    • Develop and manage budgets for facility maintenance, supply procurement, and related projects, monitoring spending and reporting variances.
    • Review and process vendor invoices, ensuring accuracy and proper cost center allocation.
    • Utilize data analysis to identify cost-saving opportunities and recommend improvements to operational procedures.
    • Prepare and maintain accurate financial and inventory records for audits and management reporting.

    QUALIFICATIONS

    Education/Certification: Bachelor's degree in Business Administration, Supply Chain Management, Facilities Management, or a related field; relevant experience may be considered in lieu of a degree for certain positions.

    Clerical skills required

    Required Knowledge: Knowledge of construction

    Knowledge of purchasing

    Familiar with required computer applications.

    Experience Required: Previous related experience helpful.

    Skills/Abilities:

    Well organized, self-motivated

    Good typing abilities.

    Strong communication skills. Efficient and attentive to detail.

    Able to operate PC, 10-key, and related business machines.

    PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

    Finger Dexterity: Using primarily just the fingers to make small movements such as typing, picking up small objects or pinching fingers together.

    Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.

    Average Hearing: Able to hear average or normal conversations and receive ordinary information.

    Repetitive Motions: Movements frequently and regularly required using the wrists, hands, and/or fingers.

    Average Visual Abilities: Average, ordinary, visual acuity necessary to prepare or inspect documents or products, or operate machinery.

    Physical Strength: Ability to walk and stand for extended periods and occasionally lift or move packages and equipment. Ability to work indoors and outdoors in various weather conditions, if required by facility type.

    Hours: Monday - Friday 8:00 AM - 5:00 PM.

    40 hours per week
