As a Business Analyst (Facilities Operations Specialist) supporting Facilities Planning & Design, you will transform complex information into actionable insights that help guide Stanford Medicine's growth, space strategy, and development initiatives.

In this highly collaborative role, you will turn complex facility, project, and regulatory data into insights that help shape the future of Stanford Medicine's healthcare environments.

• Develop dashboards, reports, and performance metrics that provide visibility into facilities planning, licensing activities, project progress, and operational performance.

• Partner with planners, project managers, and licensing professionals to identify trends, mitigate risks, and drive process improvements.

• Support executive decision-making through data analysis, presentations, portfolio reporting, and actionable recommendations.

• Track key milestones, KPIs, entitlement activities, and forecasting efforts across a diverse portfolio of planning and development initiatives.

• Leverage expertise in data analytics, Power BI, Excel, reporting tools, and stakeholder communication to deliver meaningful business insights.

The Facilities Planning & Design (FPD) business unit leads the planning, design, and improvement of Stanford Health Care's spaces to advance excellence in care, innovation, and experience. With expertise across Planning, Design, Land Use & Licensing, Art, Wayfinding, Signage, and Facilities Administration, FPD turns vision into reality, creating functional, compliant, and inspiring environments aligned with Stanford Medicine's mission.

The Land Use & Licensing team guides long-range planning, entitlements, and sustainability initiatives that advance Stanford Medicine's growth and mission. Combining expertise in architecture, planning, construction, and healthcare, the team oversees licensing, compliance, and government relations with precision and collaboration. The work ensures regulatory alignment, sustainable development, and seamless coordination across the enterprise.

A Brief Overview

The Facilities Operations Specialist I will be responsible for managing various operational tasks, process improvements, and documentation to support the efficiency and effectiveness of Facilities Services. This position requires strong analytical skills, attention to detail, and the ability to communicate effectively with internal and external stakeholders.

What you will do

• Perform data entry, cleansing, reconciliation, and quality checks for asset, work order, occupancy, and energy-related data.
• Maintain report documentation, data dictionaries, and standard operating procedures (SOPs),
• Assist with building, updating, and testing dashboards and metric reports
• Monitor and escalate data quality issues; conduct initial root-cause analysis under supervision and track remediation.
• Develop and maintain Excel/Power BI-based tools for reporting and analysis.
• Provide customer service to end users, triage requests, and maintain a reporting request queue.
• Submit requisitions in Workday for purchase orders and purchase order changes.
• Processes and tracks invoices and permits to ensure timely payment to vendors and county agencies
• Support compliance with data privacy, security, and audit requirements; contribute to standardization and continuous improvement.

Education Qualifications

• Bachelor's degree from an accredited college or university required.

Experience Qualifications

• One to two (1-2) years of experience in data analysis/reporting or facilities operations support (internship/co-op experience acceptable) required.
• Exposure to relational databases and business intelligence tools preferred.

Prior healthcare experience a plus.

Required Knowledge, Skills and Abilities

• These are the observable and measurable attributes and skills required to perform successfully the essential functions of the job and are generally demonstrated through qualifying experience, education, or licensure/certification.
• Proficiency with MS Excel (pivot tables, lookups), Access, PowerPoint, and Word.
• Strong attention to detail, data quality, and organizational skills; ability to follow SOPs and manage multiple tasks with supervision.
• Clear written and verbal communication; customer service orientation.
• Ability to work collaboratively and learn quickly; curiosity to improve processes.

Preferred Knowledge, Skills and Abilities

• Familiarity with facilities management systems and Internet of Things (IoT) concepts preferred.

Base Pay Scale: Generally starting at $45.08 - $58.61 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
