Maintenance Engineer Preventive Maintenance & Facilities Reliability

Position Overview
We are seeking an experienced Maintenance Engineer to support a highly complex R&D laboratory and office facility with critical infrastructure supporting sensitive scientific research and corporate operations.
The Maintenance Engineer will be responsible for auditing, optimizing, and expanding the site's Preventive Maintenance (PM) program. This position will bridge the gap between facility maintenance operations, engineering documentation, and computerized maintenance management systems (CMMS).
The ideal candidate will have strong experience with facilities engineering, maintenance/reliability programs, industrial HVAC and utilities, CMMS systems, and technical procedure development, preferably within a regulated environment such as pharmaceutical, biotech, healthcare, semiconductor, or other highly controlled facilities.
This is a hands-on engineering and documentation role focused on improving asset reliability, maintenance effectiveness, compliance, and equipment uptime.
Key Responsibilities
Asset & CMMS Audit
- Review current and historical work order data within the CMMS to identify maintenance and procedural gaps.
- Audit existing Preventive Maintenance programs and identify opportunities for improvement.
- Cross-reference CMMS asset records against physical equipment in the facility.
- Verify equipment identification, asset tags, criticality, maintenance frequency, and associated PM procedures.
- Identify high-risk or critical assets that lack adequate maintenance documentation.
- Analyze historical maintenance data to identify recurring failures, trends, and opportunities for reliability improvement.
Preventive Maintenance Program Development
Develop, revise, standardize, and optimize detailed PM job plans and maintenance procedures for critical facility and utility systems, including:
- HVAC and air handling units (AHUs)
- VAV systems
- HEPA filtration systems
- Laboratory chemical fume hood exhaust systems
- Bio-safety cabinet exhaust systems
- Industrial/stroboscopic exhaust systems
- Chillers and chilled-water systems
- Cooling towers
- Boilers
- Compressed air systems
- Reverse Osmosis/Deionized Water (RODI) systems
- High-purity water distribution systems
- Other critical mechanical, electrical, plumbing, and facility infrastructure
Technical Procedure Development
- Author clear, detailed, technician-ready PM procedures and job plans.
- Standardize maintenance procedures across mechanical, electrical, and plumbing disciplines.
- Convert equipment documentation, engineering specifications, historical work orders, and technician knowledge into actionable maintenance procedures.
- Define inspection steps, measurements, operating parameters, and required documentation.
- Establish clear pass/fail criteria for inspections and maintenance activities.
- Define calibration checkpoints and data collection requirements.
- Ensure procedures are practical and executable by maintenance technicians in the field.
Safety & Compliance
- Incorporate applicable safety requirements into PM procedures, including:
- Lockout/Tagout (LOTO)
- Job Hazard Analyses (JHAs)
- Personal Protective Equipment (PPE)
- Equipment-specific safety precautions
- Ensure procedures comply with applicable regulatory requirements and company engineering standards.
- Support compliance with GxP, Good Documentation Practices (GDP), and laboratory/manufacturing quality requirements.
- Ensure maintenance documentation provides appropriate traceability and objective evidence of completed work.
Technician & Engineering Collaboration
- Interview maintenance technicians, engineers, and subject matter experts to capture undocumented equipment knowledge and maintenance practices.
- Translate field knowledge into standardized written procedures.
- Collaborate with Plant Engineering, Facilities, Maintenance, Quality, EHS, and other stakeholders.
- Incorporate feedback from field execution into revised PM procedures.
- Communicate maintenance program gaps, risks, and recommendations to engineering leadership.
CMMS Integration
- Prepare completed PM procedures and supporting documentation for implementation in the CMMS.
- Develop data upload sheets and/or CMMS change requests.
- Ensure new and revised procedures are properly structured for implementation.
- Support transition of newly developed PM job plans into the active maintenance program.
- Maintain accurate documentation of changes and revisions.
Key Project Deliverables
Gap Analysis Report Within First 2 Months
Develop a comprehensive assessment of the existing PM program, including:
- Current-state PM program health
- Documentation gaps
- Asset registry discrepancies
- High-risk assets lacking adequate PM procedures
- Historical maintenance/work-order trends
- Prioritized recommendations
- Recommended timeline for procedure development
Standardized PM Templates Month 3
Develop an Engineering Manager-approved standardized template for PM job plans covering mechanical, electrical, and plumbing/facility systems.
Finalized PM Job Plans Ongoing
Deliver completed, reviewed, and approved PM procedures in monthly batches for targeted equipment classes, including HVAC, chillers, RODI systems, exhaust systems, boilers, compressed air, and other critical facility utilities.
CMMS Change Requests Project Conclusion
Prepare completed data upload sheets, change requests, and supporting documentation required to transition newly developed PM procedures into the active CMMS database.
Required Qualifications
- Bachelor's degree in Mechanical Engineering, Electrical Engineering, Facilities Engineering, or a related technical discipline; equivalent technical experience may be considered.
- 5+ years of experience in facilities engineering, maintenance engineering, reliability engineering, or maintenance operations.
- Experience working in a regulated or highly controlled environment, preferably:
- Pharmaceutical
- Biotech
- Medical device

- Advanced manufacturing
- Research laboratory
- Strong knowledge of commercial/industrial HVAC and facility utility systems.
- Experience with chillers, cooling towers, boilers, compressed air, industrial exhaust, and/or high-purity water systems.
- Experience developing or optimizing Preventive Maintenance programs and PM job plans.
- Experience working with enterprise CMMS platforms; SAP experience strongly preferred.
- Strong technical writing and documentation skills.
- Ability to analyze maintenance/work-order data and identify trends and program gaps.
- Ability to communicate effectively with maintenance technicians and engineering personnel to capture field knowledge.
Preferred Qualifications
- Experience with SAP PM or another enterprise CMMS.
- Experience with GxP/GMP/GLP/GDP environments.
- Knowledge of regulated facility maintenance documentation requirements.
- Experience with asset criticality assessments and reliability-centered maintenance principles.
- Experience developing LOTO procedures, JHAs, and equipment-specific safety requirements.
- Experience with maintenance program standardization and CMMS implementation.
- Experience working with laboratory, pharmaceutical, biotech, or semiconductor facility utilities.
- Strong understanding of equipment failure modes and preventive maintenance strategies.
Ideal Candidate Profile
The ideal candidate is an engineer who can operate effectively both in the field and in the CMMS/documentation environment.
You should be comfortable walking through a facility with technicians, inspecting equipment, reviewing work orders and equipment history, identifying maintenance gaps, and then translating that information into detailed, compliant PM procedures.
This position requires someone who is equally strong in facility systems, maintenance/reliability, data analysis, technical writing, and cross-functional communication.
