Reports To: General Manager / Chief Operating Officer
The Facilities & Grounds Manager directs the year-round maintenance, physical stewardship, safety, and operational reliability of our private club and community sporting campus. This hands-on leadership role manages clubhouses, outbuildings, grounds, utility infrastructure, a private recreational lake, dam, and fleet equipment.
The position executes seasonal opening and closing protocols, leads capital winter projects, and drives a proactive preventive maintenance program to maintain pristine property standards for members and guests.
Inspect, maintain, and coordinate hands-on repairs across HVAC, plumbing, electrical, life-safety, roofing, and structural systems. Manage specialized licensed trade contractors when required.
Establish and lead daily, monthly, and seasonal PM schedules. Maintain a comprehensive asset register, forecast capital reserve needs, and execute off-season winter renovation projects.
Oversee complete autumn winterization and spring commissioning to ensure all amenities are fully operational before opening day.
Manage the maintenance, docks, shoreline erosion, safety equipment, and structural inspections for a private lake and dam in coordination with regulatory agencies and consulting engineers.
Ensure presentation standards across club entrances, lawns, terraces, parking areas, recreational sports courts, pool facilities, and outdoor event spaces.
Formulate and manage the annual facilities operating budget. Control purchasing, track invoice approvals, manage tool/fuel/chemical inventories, and negotiate service contracts.
Recruit, schedule, and supervise seasonal maintenance technicians. Define vendor scopes of work, verify contractor licensing/insurance, and inspect completed jobs.
Enforce OSHA protocols, maintain safety data sheets (SDS) and municipal permits, oversee water testing/environmental handling, and execute facility emergency response plans.
5+ years of progressive facilities, property, or grounds maintenance experience within private clubs, high-end resorts, estates, or campus environments (supervisory experience preferred).
Hands-on technical capability in basic carpentry, plumbing, electrical, and general trades, with the judgment to identify when licensed contractors are required.
Demonstrated experience managing operating budgets, preventive maintenance tracking, vendor contracts, and physical inventory.
Strong organizational habits with proficiency using digital maintenance tracking, spreadsheets, and budget tools.
Active indoor/outdoor work in diverse seasonal weather conditions across uneven terrain.
Ability to climb ladders, enter mechanical spaces, operate maintenance machinery/tools, and lift materials up to 50+ lbs.
Schedule flexes with the seasonal operating calendar, requiring occasional weekend, evening, or emergency response availability.
