Facilities Coordinator

At Network For Hope (NFH) the Facilities Coordinator independently supports the day-to-day operation, upkeep, and coordination of NFH facilities. The position serves as a primary point of contact for facility needs, vendors, service providers, and assigned projects; performs routine handyman-level maintenance and repairs; and coordinates specialized work requiring outside contractors. The role identifies facility needs, prioritizes work, follows issues through completion, and helps maintain safe, functional, and well-maintained work environments.

Key Responsibilities

Facilities Coordination

• Independently monitors facility conditions and responds to routine facility needs, service requests, and identified concerns.
• Serves as a primary point of contact for vendors and service providers; schedules work, coordinates site access, communicates expectations, and follows through to completion.
• Coordinates specialized maintenance and repair needs, including HVAC, plumbing, electrical, fire protection, security/alarm systems, pest control, and other building systems through qualified vendors.
• Conducts routine facility walkthroughs to identify maintenance needs, safety concerns, and opportunities for repair or improvement.
• Maintains facility records, service documentation, vendor information, warranties, and other required documentation.
• Responds to urgent facility issues, assesses immediate needs, notifies appropriate personnel, and coordinates outside support when necessary.

General Maintenance

• Performs routine handyman-level repairs and upkeep, including minor carpentry, drywall patching, painting, furniture assembly, hardware replacement, basic fixture repairs, and similar general maintenance.
• Completes routine grounds and exterior upkeep or coordinates outside services, including debris or fallen-branch removal and snow/ice removal.
• Uses common hand and power tools safely and determines when work should be referred to a licensed or specialized contractor.

Project Coordination

• Coordinates assigned facility projects from planning through completion, including gathering information or quotes, scheduling vendors, monitoring progress, communicating updates, and tracking open items.
• Assists with office moves, furniture installation, space changes, equipment placement, and other facility-related projects.
• Tracks project timelines, priorities, costs, and completion status and escalates concerns or decisions as appropriate.

Sterilization & Instrument Processing

• Coordinates routine maintenance, repairs, and cleanliness of assigned fleet vehicles and maintains related service records.

Safety

• Identifies and promptly addresses or reports potential facility safety hazards.
• Follows safe work methods and procedures, uses required personal protective equipment, and ensures vendors comply with applicable site safety expectations.

Qualifications

Education: High School Diploma, or equivalent required.

Experience: 2-3 years of experience in facilities coordination, property maintenance, building operations, general maintenance, or a related role is required. Working knowledge of routine handyman-level repairs is required. Experience independently coordinating vendors, service requests, and facility projects is strongly preferred. Experience supporting multiple properties and/or a healthcare environment is preferred.
