Shift: Monday To Friday From 08:00 AM To 05:00 PM

Summary
The Facilities Coordinator II supports building facilities operations by coordinating maintenance activities, vendors, technicians, schedules, documentation, purchasing, and administrative tasks. The role requires strong organization, communication, follow-up, and time-management skills to manage multiple requests and maintain accurate, audit-ready records in a fast-paced environment.
Responsibilities
  • Maintain scheduling and task management through the CMMS system.
  • Coordinate corrective and preventive maintenance activities.
  • Schedule and coordinate work for outside vendors and Facilities technicians.
  • Manage the Facilities group calendar, including PTO, contractor visits, site events, and team work locations.
  • Maintain critical documents and records in an audit-ready state.
  • Maintain and update departmental SOPs.
  • Prepare and maintain monthly department metrics.
  • Support meetings, report generation, and departmental projects.
  • Create purchase order requisitions and process invoices for payment.
  • Follow up on activities, projects, and correspondence to ensure timely completion.
  • Purchase office equipment and supplies for departments.
  • Support building facilities for production operations.
Required Skills
  • High school diploma or equivalent.
  • 2+ years of experience in a similar administrative or facilities role.
  • Proficiency with Microsoft Outlook, Excel, and Word.
  • Strong interpersonal and relationship-building skills.
  • Highly motivated, organized, and detail-oriented.
  • Excellent verbal and written communication skills.
  • Ability to manage scheduling demands, conflicts, and multiple requests.
  • Ability to adapt to changing environments, tasks, responsibilities, and people.
  • Ability to maintain a professional demeanor in a fast-paced environment.
  • cGMP environment experience preferred.
  • Experience with BMS and CMMS systems preferred.
  • Database experience preferred.
