The Facilities Contract Coordinator supports the administration and coordination of contracted facilities services, custodial operations, and construction projects. This position serves as a central point of coordination between university departments, Facilities Management personnel, contractors, and vendors to support effective service delivery, contract administration, project execution, and fiscal accountability. The role helps ensure contracted services and projects align with institutional standards, operational needs, and budgetary requirements while promoting a safe, functional, and well-maintained campus environment.
Essential Duties
- Monitors and manages project and service contract budgets to ensure expenditures remain within approved funding and encumbered purchase orders. Tracks financial activity, reconciles project balances, reviews invoices and pay applications, identifies discrepancies, and supports fiscal compliance across multiple contracts and projects.
- Creates purchase requisitions and prepares supporting procurement documentation for service contracts, construction projects, contract amendments, and other departmental needs. Ensures compliance with university procurement policies, state regulations, and contract requirements.
- Conducts custodial quality assurance inspections and contract compliance reviews to evaluate service delivery, cleanliness standards, and adherence to contract specifications. Documents deficiencies, tracks corrective actions, and monitors contractor performance to ensure continuous service improvement.
- Maintains and administers contract and project documentation, including inspection reports, service records, change orders, schedules, contract amendments, financial records, and other supporting documentation required for operational and audit purposes.
- Serves as a liaison between university departments, facilities personnel, contractors, vendors, and project managers to coordinate services, communicate expectations, address operational concerns, and facilitate timely resolution of issues related to custodial operations and construction projects.
- Provides administrative and operational support to Facilities Management leadership by preparing reports, maintaining performance metrics, assisting with audits, supporting project administration activities, and contributing to the effective management of contracted facilities services.
Knowledge, Skills and Abilities
- Knowledge of custodial operations, quality assurance practices, contract compliance, and facilities services, including industry cleaning standards, inspection processes, and generally accepted maintenance practices.
- Knowledge of project and contract administration, including budget tracking, purchase requisition processing, invoice review, recordkeeping, and audit support.
- Strong analytical, organizational, and problem-solving skills with the ability to manage multiple projects, contracts, deadlines, and priorities while maintaining a high level of accuracy and attention to detail.
- Ability to conduct inspections, evaluate service performance, identify deficiencies, and document findings, while supporting corrective action efforts and continuous improvement initiatives.
- Skilled in verbal, written, and interpersonal communication, with the ability to effectively work with university personnel, contractors, vendors, customers, and project stakeholders.
- Proficiency in Microsoft Office and other business software applications, with the ability to learn and utilize financial, procurement, work management, and contract management systems.
Minimum Qualifications
- High school diploma or GED.
- Two (2) years of experience in facilities management, contract administration, project administration, construction administration, custodial operations, or a related field.
- An equivalent combination of education and experience may be considered.
- Valid Texas driver's license and a driving record acceptable to the University's insurance carrier.
- Must successfully pass a background check.
Preferred Qualifications
- Associate's or Bachelor's degree in Business, Accounting, Facilities Management, Construction Management, or a related field.
- Experience performing inspections, quality assurance reviews, contract monitoring, or vendor performance evaluations.
- Knowledge of custodial industry standards, APPA cleanliness standards, or commercial cleaning operations.
