Job Summary
The Facilities Assistant supports the day-to-day operation, maintenance, safety, and upkeep of ICANN's headquarters office facilities. This role is responsible for helping maintain a clean, safe, functional, and well-organized workplace while assisting with routine building maintenance, repairs, inspections, vendor coordination, and facility-related projects.
The ideal candidate is dependable, hands-on, organized, and comfortable responding to maintenance needs in a fast-paced office environment.
Key Responsibilities & Duties
- Perform routine inspections of office spaces, common areas, restrooms, mechanical areas, and other building facilities.
- Complete basic building maintenance and repairs, including minor plumbing, electrical, carpentry, painting, furniture and fixture repairs, and general maintenance.
- Respond promptly to facility maintenance requests and troubleshoot issues as appropriate.
- Identify maintenance, safety, and building issues and escalate more complex repairs to the Facilities Manager or qualified contractors.
- Assist with preventive maintenance activities for building systems, equipment, and fixtures.
- Coordinate access for contractors, service providers, and vendors as needed.
- Assist with monitoring and maintaining HVAC, lighting, plumbing, security, and other building systems.
- Help maintain inventory of maintenance supplies, tools, equipment, and office-related facility materials.
- Support office moves, furniture installations, workspace setups, and other facility projects.
- Assist with emergency preparedness, building inspections, and safety procedures.
- Maintain accurate records of maintenance activities, inspections, work orders, and vendor visits.
- Help ensure the facility complies with company safety policies and applicable building and workplace requirements.
- Maintain clean, organized, and safe maintenance and storage areas.
- Support recycling, waste management, and other facility sustainability initiatives.
- Provide front desk coverage and support as needed.
- Perform other facilities and building maintenance duties as assigned.
Required Knowledge, Skills, and Abilities (KSAs)

- Previous experience in facilities, building maintenance, property maintenance, or a related field.
- Experience supporting facilities in a corporate office or commercial building environment.
- Basic knowledge of building systems, tools, and maintenance practices.
- Experience using maintenance work-order or facilities management software.
- Proficiency with Microsoft Excel, Word, and PowerPoint and Adobe Acrobat Professional preferred.
- Ability to perform minor repairs and general maintenance tasks safely and effectively.
- Strong problem-solving and troubleshooting skills.
- Good organizational skills and attention to detail.
- Ability to prioritize multiple maintenance requests and respond to urgent issues.
- Strong communication and customer service skills.
- Ability to work independently while collaborating effectively with employees, vendors, and contractors.
- Ability to safely lift, move, and carry equipment, supplies, furniture, and other materials weighing up to 50 pounds, as required.
Education and Experience Requirements
- High school diploma or international equivalent.
- Minimum of three (3) years of related facilities maintenance experience.
- Basic knowledge of HVAC, electrical, plumbing, and building automation systems.
- Relevant trade training, certifications, or technical coursework.
Working Conditions & Physical Requirements
- Work is performed in a normal office environment with limited privacy and some exposure to background noise.
- While performing the duties of this job, the employee is frequently required to stand and walk and regularly required to sit.
- The employee is frequently required to talk or hear and use hands and arms to reach, handle, or feel.
- Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus.
- The employee may occasionally lift and/or move up to 50 pounds.
