The Property Coordinator supports Facilities in clinical and commercial property management as well as internal Safety/Transportation operations management. This person performs a variety of office administrative work, reporting regularly to property HOAs/Board meetings, assisting in construction projects, scheduling, negotiating, and overseeing contractor work, providing improvement recommendations to Management, and responding in-person to site emergency calls inside and outside of operation hours.

ESSENTIAL JOB FUNCTIONS:

  • Ensures respective properties are maintained and meets NEMS standard of quality.
  • Represent NEMS at property HOA/Board(s). Participate in recurring meetings and maintain membership to complete projects.
  • Solve problems with sound judgement; provide and maintain good customer service and contractor/HOA relations.
  • Initiates work with Maintenance and vendors to complete scheduled and ad hoc maintenance quickly, notifying Manager for any delays/changes and making appropriate recommendations.
  • Responsible for ensuring that building standards and procedures comply with codes and regulations, and escalating issues appropriately for resolution.
  • Recognizes correction and improvement areas. Negotiates and coordinates with vendors for repairs, maintenance, renovation, and construction projects accordingly.
  • Carry out and delegate work per emergency and clinic policy and priorities. Provide timely, accurate, and relevant communication and responses to concerning parties.
  • Works with the Safety Team to minimizes severity or frequency of accidents through risk identification process. As well as complying with building ADA standards.
  • Place, log, and track purchase and work orders as needed.
  • Document and escalate any customer service issue and/or shipping/receiving errors.
  • Assists with training of new Facilities employees.
  • Assists manager in project coordination including, but not limited to, Transportation Safety, and other NEMS associated events.
  • Coordinate appointments, schedule meetings, take meeting minutes and performs clerical duties.
  • Responds to site emergency calls inside and outside operation hours, and in-person, as needed.
  • Performs other job duties as required by manager/supervisor.
  • Minimum of a High School certificate or higher
  • Minimum of 2 years of related work experience in general office.
  • Knowledge or experience in Building, Mechanical, Electrical, Plumbing, Engineering or related fields highly preferred.
  • Must have excellent interpersonal skills.
  • Possession of a current and valid driver's license.
  • Proficient computer skills are required.

LANGUAGE:

  • Must be able to fluently speak, read and write English.
  • Fluent in Chinese (Cantonese and/or Mandarin) preferred
  • Fluency in other languages are an asset.

STATUS:

  • This is an FLSA Exempt position.
  • This is not an OSHA high-risk position.
  • This is a Full Time position.
