The Executive Secretary provides high-level administrative support to senior executives within the insurance company. This role manages schedules, communications, and documentation, ensuring smooth day-to-day operations and supporting strategic initiatives. The Executive Secretary serves as a liaison between executives, staff, clients, and stakeholders, maintaining professionalism and confidentiality at all times.
Key Responsibilities:
- Manage and maintain executives’ calendars, appointments, and meetings.
- Coordinate internal and external communications, including emails, phone calls, and correspondence.
- Prepare, review, and edit documents, reports, presentations, and insurance-related materials.
- Organize travel arrangements, itineraries, and expense reports for executives.
- Act as a liaison between executives and employees, clients, and partners, ensuring timely communication.
- Assist in organizing corporate events, board meetings, and company functions.
- Maintain confidential files and records, ensuring compliance with company policies and insurance regulations.
- Conduct research, compile data, and prepare reports as requested by executives.
- Support ad-hoc projects, including coordination with insurance operations, compliance, and client relations teams.
Qualifications:
- Proven experience as an executive secretary, executive assistant, or professional, preferably in insurance or finance.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Excellent organizational, time-management, and multitasking skills.
- Strong written and verbal communication skills.
