    The Executive Secretary provides high-level administrative support to senior executives within the insurance company. This role manages schedules, communications, and documentation, ensuring smooth day-to-day operations and supporting strategic initiatives. The Executive Secretary serves as a liaison between executives, staff, clients, and stakeholders, maintaining professionalism and confidentiality at all times.

    Key Responsibilities:

    • Manage and maintain executives’ calendars, appointments, and meetings.
    • Coordinate internal and external communications, including emails, phone calls, and correspondence.
    • Prepare, review, and edit documents, reports, presentations, and insurance-related materials.
    • Organize travel arrangements, itineraries, and expense reports for executives.
    • Act as a liaison between executives and employees, clients, and partners, ensuring timely communication.
    • Assist in organizing corporate events, board meetings, and company functions.
    • Maintain confidential files and records, ensuring compliance with company policies and insurance regulations.
    • Conduct research, compile data, and prepare reports as requested by executives.
    • Support ad-hoc projects, including coordination with insurance operations, compliance, and client relations teams.

    Qualifications:

    • Proven experience as an executive secretary, executive assistant, or professional, preferably in insurance or finance.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
    • Excellent organizational, time-management, and multitasking skills.
    • Strong written and verbal communication skills.
    • High level of discretion and confidentiality.
    • Professional demeanor and strong interpersonal skills.
