JOB DESCRIPTION             

This position may be eligible for a hybrid work environment (combination of remote work and in-office reporting) with the coordination and approval of the appropriate supervisor.  This position will report out of Columbus, OH.

Position Title:    Executive Coordinator

Reports To:    Executive Vice President Power Supply & Generation Operations/Chief Commercial Officer

FLSA Status:        Non-Exempt

Basic Functions:    Performs a variety of administrative duties in support of the CCO’s responsibilties.  Working under the direct supervision of the CCO, this position provides all necessary organizational support for the power supply and generation teams. This position requires sound judgement and discretion in all aspects of the position, with the exposure to confidential information; and is self-directed and deadline driven.  

Essential Functions:

1.    Responsible for coordinating CCO’s daily work schedule; prioritizing and scheduling meetings; assigning and scheduling items needing action by the CCO; composing original correspondence for signature; and ensuring requests for action or information are relayed to appropriate staff members and responded to in a timely manner.

2.    Drafts letters, emails, reports, and other correspondence on behalf of the CCO.

3.    Supports CCO in meetings by preparing agenda, taking notes and assuming responsibility for completion of action items.

4.    Acts as the liaison between CCO and other EMT members, Members, and stakeholders to ensure consistent communication and ensuring involvement or decision-making at the proper time.

5.    Ensures timely and effective completion of projects, reports and initiatives of the power supply and generation operations teams.

6.    Creates and maintains systems and processes to streamline operations.

7.    Maintains accurate confidential files and data records.

8.    Provides administrative support; assists with completion of special projects/assignments; conducts research, compiles data and prepares reports.   

9.    Builds and maintains positive and effective working relationships with Members, the executive team, staff and partners through effective channels of communication..

10.    Provides priority time management by screening calls; coordinates the daily work schedule; prioritizing and scheduling meetings; assigning and scheduling items needing action by the CCO; composing original correspondence for signature; and ensuring requests for action or information are relayed to appropriate staff members and responded to in a timely manner.

11.    Proofreads and updates memos, prepares and edits Power Point presentations, and general correspondence with any recommended changes and revisions; expert MS Office skills.  

12.    Performs other duties as assigned.

Knowledge, Skills, & Qualifications:

1.    Bachelor’s degree in business administration, finance or similar field strongly preferred.

2.    3-5 years experience in a similar role for a business or executive manager.

3.    Track record of organizing and directing multiople teams and departments.

4.    Excellent proof reading and computer skills with specific proficiency in MS Office products and various computer software programs. Demonstrated proficiency in creating PowerPoint and other presentations, creating and maintaining Excel spreadhseets and strong comfort level in troubleshooting technology.  

5.    Must possess excellent verbal and written communication skills.   

6.    Excellent customer service and interpersonal skills

7.    Demonstrates high degree of professionalism, respect, integrity, confidentiality with all levels of internal and external partners.  

8.    Demonstrates both analytical and organizational skills with the ability to handle complex administrative details and tasks. 

9.    Project management certification, prior experience in corporate law, energy or financial setting is a plus.
