Job Summary/Basic Function
The Executive Associate serves as a critical member of the President's office team at Indiana State University, working under the direction of the President's Chief of Staff. This position provides advanced executive support by facilitating presidential operations, coordinating high-level initiatives, and serving as a strategic liaison across internal divisions and external constituents - including trustees, community leaders, and government officials.
The Executive Associate operates with a high degree of autonomy and discretion in managing complex responsibilities that are essential to the university's leadership effectiveness, institutional continuity, and strategic execution. This role regularly handles confidential and high-stakes matters and supports the President's engagement with critical university-wide priorities.
Specific Responsibilities Required Relevant Education & Experience
Education: Bachelor's degree required.
Required work experience: 5-6 years' of progressively responsible administrative or executive-level experience, ideally in higher education or public-sector leadership.
Proven ability to manage multiple high-priority projects with discretion, diplomacy, and strategic judgment.
Advanced proficiency in Microsoft Office Suite, Adobe Acrobat, AI, webpage content management, and social media web platforms.

Strategic Presidential Operations and Initiative Management
Assist the Chief of Staff in executing presidential priorities and monitoring institutional initiatives from inception to implementation. Track action items and deadlines for key university-wide efforts, ensuring timely and accurate follow-through with division leaders and project stakeholders. Develop briefing materials and background reports to inform executive decision-making, ensuring the President is well-prepared for meetings, events, and external engagements.

Executive Communications and Stakeholder Relations
Review and coordinate formal presidential communications (memos, remarks, reports, and correspondence), ensuring alignment with institutional tone and objectives in collaboration with the Chief Public Relations Officer. Serve as a liaison between the Office of the President and senior university officials, community leaders, government offices, and national organizations. Represent the President's Office in key meetings and events as directed by the Chief of Staff.

Board of Trustees Executive Liaison and Support
Manage communications and logistical planning for the Indiana State University Board of Trustees, including meetings, materials preparation, and scheduling. Ensure compliance with applicable bylaws and legal statutes in the distribution of board materials and notifications. Serve as a backup to the Chief of Staff in supporting board functions, using BoardEffect to manage agendas, communications, and archival documents.

Independently coordinate scheduling, preparation, and follow-up for the President's high-level meetings with faculty, staff, donors, students, legislators, and peer institutions. Collaborate with Cabinet members and division leaders to align executive calendar activities with key operational goals.
