Description
This highly responsible, multifaceted position provides executive-level, comprehensive and confidential administrative support to the Executive Vice President, Workforce Development and Strategic Initiatives (EVP). The position requires an elevated level of interpersonal skills to deal with diverse situations and the ability to use sound judgment and apply broader aspects of established policies, practices, and procedures.
Essential Functions/Duties
- Provides administrative support for the EVP, which includes managing multiple calendars, arranging travel schedules, and scheduling appointments.
- Serves as a primary point of direct contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, conferences, and other special events. Requires frequent contact with legislators and the community.
- Utilizes knowledge and understanding of underlying operational issues to assist in administrative problem solving, and in the planning, development, and implementation of special projects and programs.
- Research information, compiles statistics, and gathers and computes various data; prepares reports, summaries, and replies to inquiries, by selecting relevant data from a variety of sources.
- Serves as a liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings and other events.
- Provides oversight and follow through in the preparation of required state reporting, as well as reports required by other departments, government entities and accreditation agencies.
- Creates, composes, and edits technical and/or administrative correspondence and documentation; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
- Assists in the coordination, supervision, and completion of special projects.
- Attends meetings and transcribes meeting minutes.
- Works with division budget records, accesses accounting systems online, prepares budget amendments, and assists in budget preparation. Follows department expenses to ensure that staff remains within their budget.
- Provides support and assistance with departmental planning documents or software as needed.
- Establishes rapport and open lines of communication with administrative personnel, senior management, students, faculty, staff and external stakeholders.
- Creates action plans to complete administrative tasks, resolves routine questions and problems, and refers more complex issues to higher levels.
- Processes contracts and RPAs and other paperwork, as assigned.
- Performs other appropriate duties as may be assigned by the supervisor and/or other divisional staff members.
- Supervises daily office activities of the EVP's office.
Typical Qualifications
Required Skills:
- Ability to establish an effective rapport with students, College staff, alumni, current and potential donors, business members, civic groups, members of the public, and economic development group members using a high degree of diplomacy and tact.
- Excellent knowledge of business English, spelling, and punctuation.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
- Excellent organizational skills, with special attention to detail.
- Requires the ability to handle multiple tasks and deadlines while working independently.
- Ability to exercise sound independent judgment and discretion in the completion of assigned projects and tasks.
- Excellent oral, interpersonal, and written communications skills.
- Requires diplomacy and tact in all interactions with a wide variety of people.
- Ability to work well with others.
- Above average skills with computer, word processing, spreadsheets, and databases.
- Ability to maintain highly confidential information is imperative.
- Spanish language skills are helpful but not required.
?Working Conditions/Additional Information
- Weekend and evening work may be occasionally required.
- This position may be required to work during College closures (Winter/Spring break, inclement weather closures, holidays, etc.).
- This position is a full-time, on-campus position. Remote and hybrid options are not available.
- This position is based at our Lakeland campus, but may be required to travel to other campuses, locations, and community events in Polk County.
- Limited travel outside of Polk County may occasionally be required.
- Must be able to work proficiently in a busy work area with constant interruptions.
- Must be flexible and able to adapt well to changes.
- Must be able to sit and work on a computer for extended periods of time.
Salary and Benefits Information
- This position is level C19.

Required Education
- Graduation from a standard high school (or equivalent) is required.
Required Experience
- At least three years of administrative assistant experience is required, preferably in support of a senior level or executive position.
Preferred Education
- Bachelor's degree or Associates degree preferred.

- At least five years of administrative assistant experience is required, preferably in support of a senior level or executive position.
