Description

The Executive Assistant to the President and Secretary to the Board of Education manages the office of the President, supports the President in local, state, and national activities, and provides administrative support to the President and Board of Education.

Essential Functions

Act as the Executive Assistant for the President. Coordinate and handle assignments involving a high level of organization, confidentiality, evaluations, record keeping, attention to detail, and accuracy. Maintain the schedule for the President, plan meetings, appointments and travel to ensure the President is prepared for meetings, appointments, and events.

Assist the President in obtaining and preparing data for decision-making purposes. Use effective written communication skills (persuasive letters, communications and publicity; able to take initial ideas and draft documents, proposals, and memorandums). Edit, proofread and review items prior to distribution and/or President's signature.

Monitor the budgets for the Office of the President and the Board of Education. Process requisitions for expenses and annual college memberships.

Support the President as a member of the Oregon Presidents Council and the Oregon Community College Association assuring the President is prepared for conferences and meetings. Coordinate the Oregon Presidents Council Retreat when hosted by TVCC.

Take, transcribe, and distribute minutes for monthly Director's meeting and Executive Council and other meetings as required. Coordinate governance councils, council membership and maintain related records. Update my.tvcc.cc with current council and committee meeting information.

Prepare and distribute Board of Education meeting packets, collect and edit materials provided by others as necessary and act as recording secretary for all Board of Education meetings.

Arrange the logistics for regular meetings, special meetings and retreats for the Board. Coordinate travel and registration arrangements for board members.

Facilitate the flow of communication between the President and the Board. Keep Board members apprised of college business and events.

Ensure all Board and Budget Committee meetings are held in compliance with Oregon Public Meetings Law.

Update and revise master copy of the online version of the Treasure Valley Community College Board of Education Policy Manual.

Update Board of Education website as needed and ensure Board meeting minutes and meeting records are posted on the college website.

Arrange and attend meetings of the Administrative Team, take meeting notes and action items for distribution to the team.

If directed by the President, maintain and take notes for faculty negotiations.

Compile and publish quarterly the "President's List" by updating the College's Honor Roll website, notifying the media and sending notification letters to students.

Assist with coordinating the overall scheduling and logistics of annual in-service activities, end of the year service award recognitions and other events as directed by the President.

Support the Director of Institutional Effectiveness with the preparation of accreditation visits, record management of accreditation documents and scheduling of committees.

Other duties as may be assigned by the President.

Qualifications

MANDATORY: Associate's degree and two or more years of advanced secretarial training or education, or any satisfactory combination of experience and training which demonstrates the knowledge, skills and abilities to perform the above duties. Requires thorough technical knowledge in the specialized areas of secretarial support, including proficiency utilizing Microsoft Office applications, Outlook and the internet, taking meeting minutes, data entry, and spreadsheet application skills. Able to work independently to meet deadlines; have organizational skills with an attention to detail; and produce work with accuracy. Have currently or gain in-depth knowledge of work-related College policies and practices. Ability to work effectively as a team player with a wide variety of college, community and governmental entities, and with all levels of internal and external constituents. Possess excellent interpersonal skills in the areas of creative problem solving, conflict resolution, group planning and decision-making processes. Must be able to work evening hours to attend monthly Board of Education meetings.

PREFERRED: Prior experience working in higher education. Bilingual in English and Spanish.

Work takes place in usual office working conditions, where the noise level is typical of most office environments with telephones, personal interruptions, and background noises. Evening hours are necessary to attend monthly Board of Education meetings.

Professional Staff:
