Job Details

This is a senior-level support position for someone who is comfortable operating alongside C-suite leadership and taking significant ownership of the CEO’s day-to-day priorities. The right person will be highly organized, business-minded, resourceful, and able to anticipate what needs to happen next without waiting for direction.

The environment is fast-moving, and priorities can change quickly. This person should be comfortable navigating ambiguity, communicating with senior-level stakeholders, and receiving direct feedback. Strong judgment and the ability to understand the broader business context behind a request will be important.

This position is fully remote and may be based anywhere in the United States. Candidates must be able to consistently work a schedule aligned with West Coast business hours. Some travel will be required for executive meetings, leadership gatherings, and other company events.

Key Responsibilities:
  • Manage the CEO’s schedule, meetings, and changing priorities while keeping the broader business agenda in mind.
  • Act as a central point of coordination between the CEO, executive leadership, and key internal and external contacts.
  • Prepare for important meetings by gathering information, organizing materials, coordinating attendees, and managing follow-up.
  • Support board meetings, leadership meetings, executive offsites, travel, and other high-level events.
  • Keep track of commitments, deadlines, and action items and help ensure they are carried through to completion.
  • Anticipate potential issues and take initiative to resolve them before they require the CEO’s attention.
  • Assist with special projects that may involve research, analysis, coordination, or communication across different areas of the business.
  • Handle confidential information and sensitive executive matters with discretion.
  • Oversee routine executive processes including expenses, approvals, documentation, signatures, and related administrative needs.
  • Use technology and AI tools to improve organization, streamline workflows, and make information easier for leadership to act on.
  • Step into new projects and responsibilities as business needs evolve.

Background We’re Looking For:
We are looking for someone who has spent significant time supporting senior executives in a corporate environment and understands the expectations that come with working directly for a CEO.
Candidates should ideally bring 7+ years of executive support experience, including at least 3 years directly supporting a CEO of a $50M+ organization. Experience in a private equity-backed, high-growth, technology, or similarly fast-paced business environment would be especially valuable.

This person should be highly comfortable managing a complex executive calendar and working across Microsoft 365, including Outlook, Teams, Excel, and SharePoint. Familiarity with expense management, electronic signature/contract platforms, CRM systems such as Salesforce, and modern AI tools is also helpful.

Beyond technical skills, we are looking for someone with strong business judgment who can understand the context behind a request, determine what requires immediate attention, and independently move the work forward. The successful candidate will be confident in communicating with executives, board-level stakeholders, investors, clients, and other senior contacts.

Candidates must be comfortable with a direct communication style, changing priorities, and a high level of accountability. Availability to consistently work West Coast business hours is required, regardless of where the individual resides within the United States. Candidates should also be comfortable with occasional business travel.


The Ideal Working Style:
This role will be particularly well suited for someone who naturally thinks ahead. Rather than waiting for the next assignment, you are typically anticipating what will be needed and preparing for it.
You are comfortable being given an outcome without being given every step required to get there. You can identify the steps required, plan effectively, and anticipate downstream impacts.

Strong candidates will also be able to balance urgency with judgment. Not everything can be the CEO’s highest priority, and part of being successful in this role is knowing what requires immediate attention, what can be handled independently, and what can wait.

You should also be someone who embraces technology and looks for smarter ways to work. Experience using Excel, AI tools, and other business platforms to organize information, solve problems, and improve efficiency will be valuable.

Above all, this position requires someone who is dependable, adaptable, discreet, and comfortable taking ownership in an environment where expectations are high and circumstances can change quickly.
