Class Title
The Executive Assistant to the Deputy Chief provides high-level administrative and clerical support to ensure efficient operations within the Deputy Chief's Office. This position handles sensitive information, manages scheduling, prepares reports, and serves as a liaison between the Deputy Chief and internal/external contacts. The role requires professionalism, discretion, and the ability to work independently on a variety of administrative tasks.
Duties
- Manage daily administrative operations for the Deputy Chief, including correspondence, scheduling, and meeting coordination.
- Draft, proofread, and prepare letters, memoranda, forms, and reports from dictation, rough drafts, or other sources.
- Review and summarize reports, prepare breakdowns of information, and ensure accuracy, completeness, and compliance with established requirements.
- Schedule Pre-Disciplinary Hearings, prepare related documentation, and submit finalized paperwork for signature.
- Maintain accurate attendance records for designated staff.
- Process supply orders, submit purchase requests in LOGOS, and track related expenditures.
- Coordinate and assist with department events such as the Annual Employee Banquet, Promotion Ceremonies, and Memorial Ceremony.
- Serve as relief secretary for the Executive Assistant to the Chief of Police when required.
- Receive, log, and maintain files from Internal Affairs, Human Resources, Assistant Chiefs, City Legal, and other departments.
- Perform research and request reports from RMS as directed.
- Perform additional duties as assigned by the Deputy Chief.
Minimum Qualifications
- Must be at least 21 years of age.
- High school diploma, G.E.D., or higher education degree (associate's or bachelor's) from an accredited institution. Certifications of completion will not be accepted as substitutes.
- Combination of training and experience demonstrating the ability to perform the listed duties.
WORK ENVIRONMENT:
- Office-based role requiring the use of standard office software, report creation tools, and mobile app technologies.
PHYSICAL DEMANDS:
Primarily sedentary work involving extended periods at a desk and computer.
