    Description

    Partner closely with 2-3 directors in TAA to work on the traditional responsibilities (below) of an EA, and ALSO to explore how to rethink the role of the EA in the future, using technology the right way to enhance human activity while leveraging the new things AI enables. We are looking forward and pushing this space (calendaring, agenda setup, templates, automation, etc.), and we want an EA to partner with us so we can all reimagine productivity. This will help the person acquire a set of highly coveted skill in the market today as a strong stepping stone for their careeer.

    Key job responsibilities

    AI-Forward Mindset: Embrace AI tools and new ways of working to continuously improve efficiency and reimagine how administrative and operational work gets done, brainstorm with senior leaders and parter with a team of technical experts to help us change the processes, educate people and build automation and enhance individual output with technology.

    Calendar & Scheduling Ownership: Manage complex, multi-time zone calendars for 2 or 3 Directors, proactively resolving conflicts and optimizing time allocation across strategic priorities

    Travel & Expense Coordination: Handle end-to-end domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries. Process expense reports accurately and in compliance with Amazon policies

    Deliverable Tracking & Follow-Through: Attend key leadership meetings, track action items, and drive completion of deliverables across teams. Prepare executives for meetings by gathering relevant materials, briefing documents, and background information

    Leadership Partnership: Work closely with Directors to provide real-time prioritization of business activities, exercising sound judgment and making autonomous decisions in ambiguous situations. Handle confidential information with the highest discretion

    Cross-Functional Collaboration: Build strong relationships with Executive Assistants, recruiting, and stakeholders across the broader organization, acting as a liaison for direct reports and helping the team navigate dependencies

    Events & Offsites: Plan and execute team events, offsites, all-hands meetings, and cross-team gatherings for teams of 50+ employees. Coordinate logistics for leadership summits, re:Invent activations, and team celebrations. Travel onsite to support events and external engagements as needed

    Team Engagement & Communications: Drive team communication cadence - coordinate all-hands agendas, distribute key updates, maintain team distribution lists, and support internal newsletters or announcements. Help foster team culture through recognition programs, milestone celebrations, and team-building initiatives

    Team Operations: Support budget tracking and purchase order processing. Coordinate onboarding for new team members, including workspace setup and orientation scheduling. Draft correspondence, presentations, and communications on behalf of the executives
