What You'll Do

  • Track projects, deadlines, and action items to ensure timely completion
  • Lead project coordination efforts across multiple departments, ensuring alignment of priorities, timelines, deliverables, and stakeholder expectations
  • Maintain project plans, status reports, and executive dashboards to provide visibility into key initiatives and business objectives
  • Partner with leadership to manage and execute strategic initiatives, process improvement projects, and organizational priorities
  • Coordinate technology initiatives, including software implementations, system upgrades, workflow automation projects, and vendor relationships
  • Act as a liaison between business leaders, technology providers, and cross-functional teams to ensure successful implementation of technology solutions
  • Identify opportunities to leverage technology to improve operational efficiency, communication, and overall business performance
  • Manage complex executive calendars, scheduling, and priority-setting activities
  • Oversee email communications, correspondence, and follow-up actions on behalf of leadership
  • Coordinate meetings, presentations, travel arrangements, and special events
  • Prepare professional reports, presentations, and client-facing documents
  • Serve as a liaison between executives, clients, vendors, and external business partners
  • Maintain confidential files, records, and sensitive business information with the highest level of discretion
  • Assist with office operations, process improvements, and administrative initiatives
  • Support document management, electronic signatures, and workflow coordination
  • Conduct research and assist with special projects as assigned
  • Partner with technology providers and internal stakeholders to improve business processes and operational efficiency

What We're Looking For

  • 3+ years of Executive Assistant, Senior Administrative Assistant, or similar experience
  • Experience supporting senior executives in a professional, deadline-driven environment
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Interest in leveraging technology and AI tools to enhance workplace efficiency; highly tech savvy
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Ability to manage multiple priorities while maintaining accuracy and professionalism
  • High level of discretion when handling confidential information
  • Self-motivated, adaptable, and capable of working independently
