Reports directly to a member of the Executive Leadership Team.
Proactively manages advanced and standard administrative functions with limited direction.
Supports senior leadership in a fast-paced, international corporate environment.
Handles sensitive and confidential information with a high level of discretion.
Primary Responsibilities
Manage complex executive calendars and scheduling.
Arrange extensive domestic and international travel.
Prepare detailed travel itineraries and expense reports.
Compose and format confidential, non-routine documents and correspondence.
Manage timely and professional internal and external communications.
Create complex and executive-level PowerPoint presentations.
Coordinate conferences, meetings, and special events both on- and off-site.
Provide administrative support to local and global team members.
Assist with administrative projects by:
Researching and gathering information.
Formatting and analyzing data.
Summarizing results.
Supporting special events and organizational initiatives.
Train and supervise junior-level administrative colleagues as needed.
Screen and redirect telephone calls, take messages, and respond to inquiries.
Provide information regarding company policies and procedures.
Establish E-Reqs, purchase orders (POs), and vendor/consultant contracts.
Order catering for Executive Team meetings.
Track due dates for Executive Team pre-reads.
Ensure pre-read materials are uploaded to SharePoint when necessary.
Order and maintain office supplies for the Executive Team.
Provide recruiting support, including:
Scheduling interviews.
Reviewing resumes.
Ability to multitask effectively in a fast-paced environment.

Excellent organizational and prioritization skills.
Ability to successfully manage multiple competing priorities.
Advanced proficiency with:
Microsoft Word.
Microsoft Excel.
Microsoft PowerPoint.
Microsoft Outlook.
Advanced Outlook calendaring skills are required.
Excellent written and interpersonal communication skills.
Ability to work independently and accurately with minimal supervision.
Comfortable interacting with all levels of management.
Ability to work effectively with internal and external stakeholders.
Ability to follow established procedures, guidelines, and safety requirements.
Demonstrates absolute discretion when handling confidential and sensitive information
Experience Requirements
8+ years of progressively advanced administrative experience.
3–5 years of experience as an Executive Assistant supporting a senior-level executive.
Experience supporting executives in an international corporate environment preferred/required.
Ideal Candidate Profile
Senior-level Executive Assistant with extensive executive calendar and travel management experience.
Strong background supporting C-suite or Executive Leadership.
Highly proficient in Microsoft Office and Outlook.
Experienced in handling confidential information and executive communications.
Strong project coordination and organizational abilities.
Comfortable working independently in a high-pressure, fast-paced corporate environment.
Experience with recruiting coordination, vendor management, purchasing, SharePoint, and executive meeting support.
