Provides executive support to the Executive Leadership Team at Pennsylvania Hospital. Responsible for oversight of the daily operations and special projects, supports customer relations, coordinates the business needs of the Executive Leadership Team member(s). Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Leadership Team member(s).
Responsibilities:
• Coordinates all calendar scheduling. Ensures all logistics are complete. Provides background material/documentation for meetings.
• Reviews all correspondence and documents received; prioritizes or distributes as appropriate. Composes responses, edits, reviews correspondence prepared for Executive Leadership Team member signature. Ensures appropriate appraisals have been secured.
• Conducts research and provides administrative support for special projects, prepares data and provides follow-up.
• Attends meetings as required, participates on committees as requested, takes minutes.
• Coordinates, prepares and distributes Board of Managers quarterly meetings board books.
• Collects and compiles data, and other materials for reports, budgets, correspondence, charts, etc.; collates and assembles reports and documents.
• Transcribes, types, proofs and edits a variety of materials, e.g. correspondence, collates and assembles reports and documents.
• Apprises Executive Leadership Team member of issues that face the office.
• Makes travel arrangements for the Executive Leadership Team member(s), prepares travel advance and expense reports, reconciles travel documents.
• Acts as a resource person for staff and management.
• Answers Patient and Guest Relations phones in a timely manner. Forwards complaints to correct Director/Nurse Manager for immediate investigation and follow-up.
• Uses effective interpersonal skills in all interactions.
• Performs duties and exhibits behaviors consistent with care philosophy of Pennsylvania Hospital.
• Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
