The Opportunity
We are seeking a highly organized, proactive Executive Assistant to provide direct support to a senior executive within a fast-paced, growing organization.
This person will take ownership of calendar management, travel coordination, expenses, event planning, and general administrative support. The ideal candidate is someone who can anticipate needs, manage competing priorities, and independently protect an executive's time without requiring constant direction.
This is a part-time position (27-30 hours/week) best suited for someone who thrives in a high-velocity environment, communicates clearly, and can keep up with a significant volume of requests while maintaining strong attention to detail.
What You'll Do
- Independently manage and prioritize a senior executive's calendar, including scheduling, rescheduling, and resolving conflicts
- Protect the executive's time by evaluating meeting priorities and making thoughtful scheduling decisions
- Coordinate domestic travel, including flights, hotels, ground transportation, itineraries, and schedule changes
- Support travel arrangements for additional executives when traveling together
- Prepare and submit expense reports and maintain accurate expense documentation
- Assist with planning and coordinating company meetings, events, offsites, and related logistics
- Provide general administrative support and handle a variety of day-to-day requests
- Coordinate meetings across internal teams, external partners, and other stakeholders
- Respond quickly to last-minute schedule or travel changes
- Potentially assist with inbox management, meeting notes, follow-up items, presentations, and other executive support based on experience and capability
- Maintain discretion and confidentiality when handling sensitive business information
- Anticipate needs and proactively address issues before they become problems
What We're Looking For
- Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar administrative support role
- Prior C-suite support is preferred but not required
- Strong calendar management and scheduling experience
- Experience coordinating business travel and managing expense reports
- Excellent organization and attention to detail
- Strong written and verbal communication skills
- Ability to independently prioritize competing requests
- Comfortable making judgment calls and protecting an executive's time
- Able to work effectively in a fast-moving environment with a high volume of activity
- Proactive, resourceful, and comfortable working with limited supervision
- Strong follow-through and sense of urgency
- Professional, dependable, and able to maintain confidentiality
- Comfortable supporting an executive whose priorities may change quickly throughout the day

Schedule
Monday - Friday; 8:30 AM 2:00 PM Pacific Time
Approximately 27.5 hours per week
Occasional availability outside of standard hours may be needed for urgent scheduling or travel-related changes
100% REMOTE from CT or PST
