Executive Assistant & Office Manager

Position Summary

A well-established and growing professional services organization is seeking a highly organized, proactive, and service-oriented Executive Assistant & Office Manager to support senior leadership while overseeing daily office operations.

This role is ideal for a polished professional who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in creating a positive and efficient workplace experience. The successful candidate will provide high-level administrative support, manage office functions, coordinate events and travel, and serve as a key point of contact for employees, visitors, and vendors.

This position requires a strong sense of ownership, exceptional attention to detail, and the ability to operate both strategically and hands-on.

Key Responsibilities

Executive Support

  • Manage complex calendars and scheduling for senior executives.

  • Coordinate internal and external meetings, including room reservations, logistics, catering, and meeting materials.

  • Arrange and manage business travel, including transportation, accommodations, and itineraries.

  • Assist with expense reporting and administrative documentation.

  • Support executives with special projects and day-to-day priorities.

Office Management

  • Serve as the primary point of contact for office operations and visitors.

  • Manage incoming calls, mail, and deliveries.

  • Oversee office supplies, refreshments, and workplace resources.

  • Coordinate vendor relationships and building-related requests.

  • Ensure conference rooms, common areas, and office facilities remain organized and presentable.

  • Assist with technology coordination, including equipment setup and vendor communication.

Employee & Event Support

  • Support onboarding and offboarding activities for employees.

  • Coordinate office events, team gatherings, and company-sponsored activities.

  • Assist with planning and executing internal and external events.

  • Manage branded materials, employee resources, and office communications as needed.

Qualifications

Required

  • Bachelor's degree or equivalent professional experience.

  • 5+ years of executive assistant, office management, administrative, hospitality, or related experience.

  • Experience supporting senior leaders in a dynamic professional environment.

  • Strong organizational, time management, and multitasking abilities.

  • Excellent verbal and written communication skills.

  • Proficiency with Microsoft Office and common business applications.

Preferred

  • Notary Public certification or willingness to obtain certification.

  • Experience coordinating events, travel, and vendor relationships.

  • Background in a professional services, corporate, financial, legal, consulting, or similar business environment.
