Description

Industry: Designer furniture, accessory, and lighting for high end wholesale company engaged in design and distribution.

We are seeking a unique experienced Executive Assistant to join our team!
You will provide knowledgeable customer service and high-level administrative support to our Owners.

 Responsibilities:

•      Manages the Executive’s calendar pro-actively, using Microsoft Outlook.

•      Scheduling and organizing meetings for up to ten internal staff and various external partners; weekly and monthly.

•      Coordinates all aspects of travel for Executives and various staff including air and ground transportation, hotel reservations, dining arrangements, and detailed itinerary preparation.

•      Acts as the first point of contact for clients, executives, and external partners. Ensures a professional and welcoming environment by greeting them upon entry.

•      Promptly answer and respond to phone calls and email messages.

•      Manage multiple phone lines and assist customers as required

•      Learn inventory system to assist our team in providing excellent customer assistance.

•      Clerical tasks include mailing out samples, filing, and maintaining organized supply cabinets.

•      Run Occasional Errands

•      Must be comfortable with on-site dogs.

•      Accountable to a full-time on-site position. Hours 8:00 AM to 5:00 PM, Monday - Friday.

•      Knowledge of NetSuite a plus

 

Qualifications:

•      Associates Level education or equivalent experience

•      Two (2) years current experience as an administrative assistant or related field

•      Excellent written and verbal communication skills.

•      Proficient intermediate skills in Microsoft Office (Word, OUTLOOK, Excel)

•      Time management skills, with the ability to prioritize tasks and multitask effectively.

•      Strong attention to detail, accuracy, and tracking

•      Ability to maintain confidentiality and manage sensitive information with discretion.

•      Knowledge in Personal Identifiable Information (PII)

•      Adaptability in a fast-paced atmosphere
