Position Summary:

We are seeking a highly polished, proactive, and strategic Executive Assistant to the CEO to provide high-level administrative and operational support. This role serves as a trusted partner to the CEO, managing priorities, facilitating communication, and ensuring seamless execution of business activities.

The ideal candidate operates with discretion, anticipates needs, and thrives in a fast-paced, executive-level environment with significant exposure to senior leadership, board members, and external stakeholders.

Key Responsibilities:

  • Provide administrative support to the CEO, including managing an extremely dynamic and complex calendar
  • Anticipate scheduling conflicts and proactively prioritize meetings and commitments aligned with business priorities
  • Act as a gatekeeper and liaison, managing incoming communications and requests
  • Coordinate domestic and international travel in partnership with a travel agency, including flights, accommodations, ground transportation, and detailed itineraries
  • Manage last-minute changes and ensure seamless, real-time travel adjustments
  • Prepare and reconcile executive expense reports
  • Coordinate executive, leadership, and Board of Directors meetings
  • Prepare agendas, briefing materials, and executive-level presentations
  • May take meeting notes, track key action items, and ensure timely follow-up
  • Support logistics for on-site meetings, including catering, room setup, and guest coordination
  • Support strategic initiatives by tracking deliverables, deadlines, and cross-functional coordination
  • Prepare reports, presentations, and briefing documents for internal and external engagements
  • Conduct research and compile data to support executive decision-making
  • Assist with confidential and high-impact projects across departments
  • Interface with senior leaders, external partners, investors, and board members with professionalism and discretion
  • Draft and edit executive communications, presentations, and correspondence
  • Maintain strict confidentiality with sensitive business and personnel matters

Required Qualifications:

  • Bachelor's degree
  • 5+ years of experience supporting C-level executives (CEO support strongly preferred)
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities (executive-level polish)
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)
  • Ability to manage multiple priorities in a fast-paced, high-stakes environment
  • Professional presence and strong interpersonal skills
  • High level of discretion, integrity, and judgment
  • Calm under pressure with a strong sense of ownership

Salary Range:  $110-130k
