Looking for a complete change in pace? We are seeking a highly organized and detail-oriented Executive Assistant/HR Clerk. This is a unique one-of-a-kind career that allows you to collaborate with top business partners while working personally with our upper management. This position demands someone who is always on and ready to assist at any time. You must be proactive, think on your feet and quick to resolve challenges.

Assistant Responsibilities

  • Frontline communication between owner, president and business partners
  • Maintain professional and personal appointment schedule
  • Book air travel, lodging, ground transportation and dining reservations
  • Expense tracking and reimbursement requests
  • Plan, organize, set up and participate in specialty events
  • Word processing, professional writing, proposals and letters.
  • Other administrative and clerical duties as necessary
  • Maintain highly organized and confidential files
  • Assist executive with minimal personal matters

HR Responsibilities

  • Work with HR Director to administer employee benefits programs including health, dental, vision, life, and retirement plans
  • Serve as the primary point of contact for employee benefits inquiries
  • Coordinate with benefits providers and brokers to resolve issues and optimize offerings
  • Maintain accurate benefits records and ensure compliance with applicable regulations
  • Manage all workers' compensation claims from reporting through resolution
  • Coordinate with insurance carriers, medical providers, and employees
  • Monitor claims for accuracy, cost control, and timely closure
  • Support return-to-work programs and transitional duty assignments
  • Maintain employee records and HRIS data integrity
  • Assist with onboarding and offboarding processes
  • Support HR compliance initiatives, audits, and reporting
  • Provide general HR support to managers and employees as needed

Personal & Professional Qualifications

  • Ability to handle sensitive and confidential information
  • Strong ability to manage multiple priorities and deadlines
  • Collaborative team player with a proactive approach
  • Proficient with Technology: You should be comfortable using various tools and software to manage tasks efficiently.
  • High Emotional Intelligence: We need someone who remains calm and is quick to solve problems, leaving others at ease.
  • Innovative and Creative. You should be quick to contribute to new initiatives and creative in your work.
  • Relationship Skills. Quickly building trusting relationships is key; you should be able to work well with others and communicate effectively.
  • Trustworthy and Loyal: We're looking for someone who is reliable and committed to staying with and growing with the firm long-term.
  • 3+ years of HR experience, with a strong focus on benefits administration and workers' compensation
  • Knowledge of federal and state employment laws and regulations
  • Experience working with HRIS and benefits platforms
  • Strong organizational skills and attention to detail
  • Excellent communication and problem-solving abilities
  • Above and Beyond Work Ethic: This is not a 9-to-5 job. We need someone who is dedicated and willing to put in the extra effort to succeed.

Compensation & Benefits

  • $48,000.00 - $62,000.00 Annual salary, depending on experience
