    Description

    HawkEye 360 is seeking a proactive Executive Assistant to support the COO and ensure the smooth day-to-day operations of the team.

    As the Executive Assistant, you will provide high-level administrative and organizational support to the COO and collaborate closely with senior leadership. You'll play a vital role in managing executive calendars, coordinating complex travel, and supporting communications across the organization.

    Your main responsibilities will be:

    • Provide executive-level administrative support to the President of the COO.
    • Manage and coordinate complex travel arrangements, including flights, accommodations, visas, and logistics.
    • Oversee scheduling and facilitate executive calendars, meetings, and engagements.
    • Prepare and submit expense reports using Concur.
    • Schedule and attend meetings on behalf of the executive; take accurate notes and record minutes.
    • Prioritize and manage multiple projects and requests, ensuring the executive is well-informed and prepared.
    • Serve as a liaison with internal and external stakeholders, anticipating and addressing needs proactively.
    • Handle general office duties such as maintaining records, ordering supplies, and basic bookkeeping.
    • Draft professional correspondence, memos, reports, and other documents for senior staff.
    • Perform additional duties as assigned to support team operations.

    Your skills and qualifications:

    Essential education and experience:

    • Bachelor's degree in Business Administration or a related field, or equivalent experience.
    • Minimum of 3 years of experience in an administrative support role, preferably supporting senior executives.
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); ability to quickly learn new tools and platforms.
    • Exceptional written and verbal communication skills.
    • Strong interpersonal skills and the ability to work collaboratively across departments.
    • Excellent organizational, problem-solving, and critical thinking skills.
    • Ability to multitask, prioritize effectively, and manage shifting deadlines in a fast-paced environment.
