ROLE OVERVIEW 

Astrodyne TDI is seeking a proactive, polished, and business-minded Executive Assistant to support six members of the Executive Leadership Team. This role combines complex executive support with business coordination, logistics, communication, and strategic follow-through. The Ability to work onsite in Hackettstown, New Jersey successful candidate will understand how senior leaders work, anticipate what is needed before being asked, and manage sensitive priorities with sound judgment, flexibility, and discretion. 

WHAT YOU WILL OWN 

  • Build trusted relationships with six senior leaders and help translate priorities into action. 
  • Manage complex calendars for six executives, balancing competing priorities, resolving conflicts, and coordinating across multiple time zones. 
  • Plan internal and external meetings, including agendas, logistics, conference rooms, virtual platforms, materials, minutes, action items, and follow-up. 
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, transportation, documentation, and expense reporting. 
  • Monitor executive correspondence and commitments, prioritize requests, and ensure timely responses and follow-through on critical tasks. 
  • Prepare, proofread, format, and distribute executive communications, presentations, spreadsheets, reports, and meeting materials. 
  • Serve as a professional liaison between executive leadership, employees, customers, visitors, and external business partners. 
  • Support leadership meetings, company events, executive off-sites, employee engagement activities, onboarding, and special projects. 
  • Maintain confidential files, organizational records, leadership reference materials, contact information, and organizational charts. 
  • Coordinate visitor logistics, conference room scheduling, office supplies, and other office-related activities as needed. 
  • Learn and use business systems, including Epicor ERP, to support leadership and operational needs. 
  • Exercise exceptional discretion when handling sensitive business, financial, personnel, and strategic information. 

WHAT YOU BRING - Requirements 

  • 5-15 years of progressively responsible experience supporting senior executives or an executive leadership team. 
  • Bachelor's degree in business or a related field preferred, or an equivalent combination of education and relevant experience. 
  • Demonstrated success managing complex scheduling, meeting logistics, travel, communications, and competing executive priorities. 
  • Strong business judgment and the ability to understand leadership needs, organizational context, and the importance of timely execution. 
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. 
  • Exceptional organization, attention to detail, written communication, and interpersonal skills. 
  • Ability to work independently, take initiative, adapt to changing priorities, and follow tasks through to completion. 
  • Professional executive presence with the confidence to communicate across levels while remaining collaborative and service-oriented. 
  • Unwavering integrity, confidentiality, and discretion. 
  • Ability to work onsite in Hackettstown, NJ with flexibility to support evolving business needs. 

PREFERRED BACKGROUND 

  • Experience supporting leadership in manufacturing, engineering, technical, logistics, or global organization. 
  • Experience serving as a business partner, leadership-team coordinator, or in a junior chief-of-staff style capacity. 
  • Strong technical aptitude and the ability to quickly learn new systems and technologies. 
  • Occasional travel availability in support of executive meetings or company events. 

SALARY RANGE 

$85,000-$115,000 annually. Final compensation will be based on relevant experience, qualifications, and business considerations.
