Job Summary

We are seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative support to the Machines Line of Business team and other senior leaders as needed. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, manages competing priorities with confidence, and serves as a trusted partner to executive leadership. The ideal candidate is detail-oriented, adaptable, and capable of handling sensitive information with discretion while supporting critical business operations and customer-facing activities.

What You Will Do

Leadership Support

• Provide executive-level administrative support to multiple leaders at multiple sites, including calendar management, meeting coordination, and travel arrangements.
• Coordinate domestic and international travel, itineraries, expense reporting, and logistics.
• Support office activities including customer visit coordination, event scheduling, presentation preparation, and meeting logistics.
• Prepare reports, presentations, correspondence, agendas, and other business documents
• Organize and coordinate leadership meetings, team events, offsite meetings, and employee engagement events.
• Manage confidential and sensitive information with professionalism and discretion.
• Track action items, deadlines, and follow-up activities to support organizational priorities.
• Serve as a key point of contact between leaders, internal teams, customers, and external partners.

Employee Engagement & HR Support

• Support Human Resources initiatives focused on employee engagement and workplace culture.
• Plan and execute employee events, recognition programs, and team-building activities.
• Manage vendor communication and coordination for events and engagement initiatives Create and distribute employee communications, promotional materials, and event flyers using Canva, in coordination with Sr. Marketing Communications Manager.
• Assist with ongoing engagement strategies to enhance employee morale and organizational culture.
• Coordinate and promote Volunteer Time Off (VTO) programs and employee participation activities.

Qualifications

• High school diploma or equivalent required; associate or bachelor's degree preferred.
• 5+ years of experience supporting executive or senior leadership teams.
• Strong organizational, multitasking, and prioritization skills.
• Excellent written and verbal communication skills.
• High level of professionalism, discretion, and attention to detail.
• Advanced proficiency with Microsoft Office Suite including Outlook, PowerPoint, Excel, and Word.
• Ability to work independently and adapt in a dynamic business environment.
• Experience supporting leaders in manufacturing, defense, engineering, or technical organizations preferred.
