    Job Summary


    The Executive Assistant will provide personalized, timely, and confidential administrative support to vice president-level executives and leadership teams. This role will manage schedules, coordinate travel and expenses, organize meetings and events, maintain information flow, and support executive priorities in a fast-paced environment.

    Responsibilities

    • Manage executive calendars, including scheduling meetings, coordinating logistics, and resolving conflicts.

    • Coordinate domestic travel arrangements, including flights, hotels, and transportation.

    • Prepare, submit, and track expense reports in accordance with established policies.

    • Organize meetings, events, and offsite activities, including reservations, catering, agendas, and materials.

    • Support projects involving data gathering, presentation preparation, document management, and meeting follow-up.

    • Prioritize competing requests, anticipate executive needs, and respond with a strong sense of urgency.

    • Exercise sound judgment when assessing priorities, escalating issues, and resolving problems.

    • Monitor and coordinate action items to ensure timely completion.

    • Maintain confidential and sensitive information with discretion.

    • Provide general administrative support to ensure efficient daily operations.

    Requirements

    • At least three years of relevant administrative experience.

    • Experience supporting vice president-level or senior executives.

    • Outstanding verbal and written communication skills.

    • Demonstrated ability to prioritize competing demands and work independently in a fast-paced environment.

    • Strong judgment, organization, follow-through, and problem-solving abilities.

    • Experience working in insurance, healthcare, or another highly regulated industry is preferred but not required.

    • High school diploma or equivalent.

    Skill

    • Executive calendar and travel management.

    • Professional email and business communication.

    • Meeting, event, and virtual activity coordination.

    • Microsoft Outlook, PowerPoint, Word, and Teams.

    • Concur or similar expense management systems.

    • UltiPro or similar time management software.

    Summary Qualification

    • Experienced executive support professional with a minimum of three years of relevant experience.

    • Highly self-sufficient and capable of managing multiple priorities with minimal supervision.

    • Skilled in supporting senior leaders and handling confidential information.

    • Strong communicator who can craft professional correspondence and coordinate with diverse stakeholders.

    • Adaptable professional with excellent judgment and the ability to resolve conflicts effectively.
