About the role:

As an Executive Assistant for TQL, you'll directly support a senior Marketing executive while helping the broader Marketing team stay organized, aligned, and moving forward.

You'll manage calendars, coordinate meetings, support executive communications and track department priorities to keep work moving forward. This role combines senior-level executive support with hands-on administrative coordination in a fast-paced Marketing department. Success requires exceptional organization, attention to detail, sound judgment and a proactive, team-first approach.

What you'll be doing:

• Manage the executive's calendar, schedule meetings and appointments, and resolve scheduling conflicts as priorities change.
• Coordinate meetings for the executive and Marketing leadership team, including agendas, presentation materials, logistics and follow-up action items.
• Organize and prioritize incoming requests, track deadlines and follow up with stakeholders to keep department projects and deliverables on schedule.
• Support executive and internal communications by organizing content, proofreading copy, validating links and preparing materials for review and distribution.
• Review presentations, documents and other department materials for accuracy, clarity, formatting and consistency.
• Serve as an administrative point of contact for the executive, communicating professionally with employees and leaders across the organization.
• Provide day-to-day administrative and operational support to the Marketing team, including document preparation, meeting coordination and department organization.
• Assist with department meetings, events, materials preparation, errands and other hands-on team needs.
• Identify opportunities to improve administrative processes, information flow and team efficiency.
• Handle confidential information and sensitive communications with discretion and professionalism.

What you need:

• 5+ years of experience as an Executive Assistant providing administrative support to senior-level executives.
• Advanced proficiency in Microsoft Office and Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint and Teams.
• Strong calendar management, meeting coordination and time management skills.
• Exceptional organizational skills with the ability to manage competing priorities, frequent interruptions and shifting deadlines.
• Excellent writing, editing and proofreading skills with close attention to accuracy and detail.
• Sound judgment and the ability to anticipate needs, solve problems and take initiative.
• Strong interpersonal and communication skills, with confidence working across departments and leadership levels.
• A proactive, resourceful and team-first mindset, including a willingness to help with hands-on administrative tasks.
• Strong follow-through, accountability and ownership of assignments.
• A high degree of professionalism, discretion and confidentiality.
