Position Summary

The Executive Assistant serves as the principal administrative and executive support professional for the Chief, Adult Education and Learning Officer. This position functions as the primary point of coordination for the Directors office and plays a critical role in supporting statewide leadership, strategic initiatives, policy implementation, and day-to-day operations of Alabamas Adult Education Division.

The Executive Assistant must demonstrate exceptional professionalism, discretion, organizational ability, and judgment while managing confidential information, coordinating high-level meetings, preparing executive correspondence, and facilitating communication with internal and external stakeholders including the Alabama Community College System (ACCS), federal agencies, local adult education providers, community colleges, workforce partners, and business and industry. This position requires the ability to anticipate needs, manage multiple competing priorities, and operate independently in a fast-paced executive environment.

Essential Duties and Responsibilities

  • Manage the Chief, Adult Education and Learning Officer's calendar, appointments, and scheduling priorities.
  • Coordinate travel arrangements, conference registrations, and travel reimbursements.
  • Prepare daily briefing materials and executive schedules.
  • Screen calls, visitors, and correspondence on behalf of the Chief, Adult Education and Learning Officer.
  • Prioritize requests and ensure timely follow-up.
  • Maintain executive files and confidential records.
  • Draft correspondence, memoranda, speeches, presentations, reports, and briefing documents.
  • Review documents for accuracy, consistency, formatting, and policy compliance.
  • Maintain professional communications with federal, state, and local partners.
  • Coordinate meetings of the Adult Education State team.
  • Prepare meeting agendas, briefing books, and supporting documentation.
  • Record action items and monitor completion.
  • Coordinate logistics for statewide meetings, advisory groups, and executive events.
  • Track implementation of strategic initiatives and special projects.
  • Coordinate cross-functional activities among Adult Education staff.
  • Monitor completion of assignments issued by the Chief, Adult Education and Learning Officer.
  • Assist in maintaining division policies, operational procedures, and administrative guidance.
  • Coordinate document routing and approvals.
  • Support procurement, purchasing, and administrative processes.
  • Maintain office procedures and administrative systems.
  • Coordinate purchasing and office supplies.
  • Process invoices and procurement documentation.
  • Manage records management systems.
  • Coordinate onboarding logistics for new staff.

Qualifications

REQUIRED

  • Associate degree in a related field.
  • Five years of progressively responsible executive administrative support experience.
  • Experience supporting senior executives or government leaders preferred.
  • Demonstrated proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Exceptional organizational and time management abilities.
  • Ability to sit for extended periods.
  • Occasional lifting of materials up to twenty-five pounds.
  • Travel within Alabama and occasional out-of-state travel.
  • Ability to operate standard office equipment.

PREFERRED

  • Bachelors degree in a related field from a regionally accredited institution.
  • Experience with adult education, workforce development, or state government.
  • Knowledge of Alabama state government operations.
  • Experience coordinating executive-level projects, Experience preparing policy documents and executive reports.
  • Familiarity with WIOA, AEFLA, community colleges, or workforce programs

Sick Leave

Full-time employees earn 4 hours and 20 minutes of sick leave for each half-monthly pay period of service or 13 days per year. No more than 150 days or 1, 200 hours of sick leave may be accumulated. Personal Leave

All full-time, part-time, or temporary employees who are employed by the State of Alabama on January 1, and who are stationed outside of Mobile and Baldwin Counties, are entitled to a personal leave day each year in lieu of the former Mardi Gras holiday. The System Office policy requires that employees schedule their personal leave day prior to scheduling any annual leave.

Retirement

The Alabama Community College System participates in the Retirement Systems of Alabama Teachers Retirement System. Teachers Retirement System is a state-mandated program where a percentage of your salary is withheld per pay period for an individual's retirement account. The percentage is determined by an employee's hire date and any prior participation in the Retirement Systems of Alabama.

Tier I (those with service credit prior to January 1, 2013): 7.5%

Tier II (those with service credit beginning on or after January 1, 2013): 6.2%

Tuition Waiver

This tuition assistance program is designed for all full-time benefits-eligible employees, retirees, and benefits-eligible H Salary Schedule employees of The Alabama Community College System and the Alabama Community College System office and their dependents defined by the policy.
