Executive Assistant

Position Overview
We are seeking a highly organized, proactive, and professional Executive Assistant to provide administrative and operational support to senior leadership. The ideal candidate will be a trusted partner who can manage multiple priorities, handle confidential information with discretion, and ensure the executive's schedule, communications, and projects run efficiently.
Key Responsibilities
- Manage complex calendars, schedules, and appointments for executive leadership.
- Coordinate and arrange meetings, conference calls, and travel accommodations.
- Screen and prioritize incoming calls, emails, and correspondence.
- Prepare reports, presentations, agendas, meeting minutes, and other business documents.
- Serve as a liaison between executives, employees, clients, vendors, and external stakeholders.
- Organize and maintain confidential files, records, and documentation.
- Coordinate special projects and track action items to ensure timely completion.
- Assist with expense reports, invoice processing, and budget tracking.
- Plan and coordinate company meetings, events, and executive functions.
- Anticipate executive needs and proactively resolve administrative issues.
- Support office operations and perform other duties as assigned.
Qualifications
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred.
- 3+ years of Executive Assistant, Administrative Assistant, or related experience.
- Exceptional written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong problem-solving and critical-thinking skills.
Preferred Qualifications
- Experience supporting C-suite executives or senior leadership teams.
- Experience with calendar management and travel coordination.
- Knowledge of project management tools and business systems.
- Ability to work independently with minimal supervision.
