Description

The Executive Administrative Assistant provides high-level administrative support to the Senior Vice President (SVP) of the TPA Division in MWG Administrators and will report to the Operations Manager. The position is an exempt, salary role and is located at 500 Steed Road Ridgeland, MS 39157. GENERAL JOB DUTIES AND RESPONSIBILITIES:The Executive Administative Assistant will assist the TPA Vice President and TPA Operations Manager with various administrative, clerical, and executive-level tasks. This role plays a key part in coordinating communicatio, supporting operational workflows, and ensuring priorities across the division are organizaed and executed efficiently.  To perform the job successfully, the employee must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Provide direct administrative support to the SVP, including calendar management, meeting coordination, and travel arrangementsPartner with the Operations Manager on daily operational needs, ensuring alignment on priorities and follow-up itemsCoordinate communication between leadership and departments to support the timely execution of initiativesPrepare, format, and distribute reports, presentations, and internal/external communicationsAssist the Operations Manager with tracking projects, deadlines, and departmental deliverablesCoordinate divisional meetings, leadership calls, and events, including agenda preparation and note-takingSupport operational reporting by gathering data and ensuring documentation is complete and distributed appropriatelyMaintain organized records, files, and documentation for the divisionAssist with scheduling and logistics for cross-functional initiatives and off-site meetingsSupport expense tracking, invoice processing, and basic budget coordinationHandle sensitive and confidential information with discretionProvide additional administrative and operational support to the leadership team as neededEXPERIENCE AND EDUCATION REQUIREMENTS:3+ years of administrative or operations support experienceExperience working with senior leadership and/or operations teams preferredStrong organizational and time management skills with the ability to manage multiple prioritiesExcellent written and verbal communication skillsProficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)High level of professionalism, discretion, and attention to detailPreferred Qualifications:Experience in a TPA, insurance, or healthcare environmentExposure to project coordination, operations, or reporting functions WORKING ENVIRONMENT: Must be able to perform in a very high paced environment and professionally handle interruptions.Must have the ability to work under minimal supervision, while able to communicate and collaborate effectively.Must be able to prioritize projects, work multiple projects simultaneously, and meet project deadlines. Must possess excellent problem-solving skills and have keen attention to details.Must demonstrate strong written and verbal communication, interpersonal, and relationship building skills.Must be able to handle stressful situations appropriately.Must maintain confidentiality and privacy in every aspect of the job.JOB ESSENTIAL REQUIREMENTS: The following are job functions that an employee must be capable of performing with or without reasonable accommodation.Must be able to read, write, and speak English; Spanish is a plus.Must have basic typing skills.Must be able to work as scheduled.
